Clarizen v5.2 – What's in it for you!

Clarizen v5.2 release gives our Users enhanced customization capabilities including Custom Actions, Scheduled Workflow Rules, new types of Workflow Rule Actions as well as a convenient console to easily manage all customizations.

As in all of our releases, many of the features in this release are direct requests from our customers including enhancements to timesheets and recycle bin.

Clarizen v5.0 introduced Clarizen's customization features:

  • Validation Rules
  • Workflow Rules
  • Custom Fields

Clarizen v5.2 improves on the last release and adds two new customization types:

  • Custom Actions
  • Scheduled Workflow Rules

In addition, the already robust customization engine is loaded with new enhancements serving all the above features including:

  • Centralized Customization Console
  • Rollup Summary Fields
  • Add Object Action
  • Execute Workflow Rules on Related Objects
  • Business Rule Cloning
  • Custom Application enhancements

This month we will focus on Tips & Tricks for v5.2

Summarizing fields in Custom Rollups:

With Clarizen's new custom rollup field, you have the ability to create a custom field on work items that will roll up the field data from child to parent.  This is a great way to get the data you need from tasks up to the milestone and project levels. 

The great thing about this new feature is the fact that you can filter the data and decide what you would like to summarize to the parent work item.  For example, you could create a new percentage field that will calculate the average percent risk of tasks to the milestone and parent project. You could also decide to add a filter that will not roll up this data from tasks that are completed, or alternatively from shortcuts linked into the project.

Custom Actions

Looking for a quick and easy way to create new tasks, projects or issues from anywhere in the Clarizen application?  New to version 5.2 are Custom Actions, a great way to simplify and expedite your daily work processes. 

An example of a Custom Action is the creation of a new project from the start menu, this is the perfect option for organizations requiring certain information upon the creation of a new project.  Custom Actions can gather all this data from the user from within one simple pop up window.  All you need to do is set up the user input section of the Custom Action to include all the necessary details, and then use the new "New Object" action to create the new project and update the fields as per the end user's input.  You can even let the end user decide what template needs to be used and what state the project should be in. 

Think of it as a custom form with the language your users are familiar with. By allowing them to enter, say, a new support ticket, you are able to capture the required data and map it in the back end to the structured fields in the Issue Tracking module. These custom forms further accelerate team adoption and allow for better workflow management.
