PREEA Update for the Coming Week

Dear PREEA Team,

Great job putting together our three events over the past week!  We have one more coming up on Monday, plus some other items of business to address.  I'm out of town this weekend and won't have time for a Google Hangout, so I'm sending this email to coordinate.  However, if others think a Hangout would be beneficial, you are welcome to go ahead with one without me.  Please see below for details on upcoming to-dos:

1.  Monday, Nov. 25, 4:30-6:00 - Security in the North Caucasus
Below is a timeline of duties for Monday's event.  Recall that I will be coming from a class that ends at 4:30, so I won't be there for setup, although I will get to McGhee probably by about 4:45.

Friday
- Svitlana - send HoyaLink email in the morning advertising
- Jess - send confirmation email to speakers if you haven't already

Monday
- 3:45 - Retrieve beverages and speaker gifts from ICC 7th floor lockers
- 4:00 - Enter McGhee Library; Corner Bakery delivers food
- 4:00-4:20 - Setup; set aside some food and water for the speakers
- 4:20 - Speakers arrive?
- 4:25 - Guests start to arrive; food is served
- 4:30 - Program begins; Grace introduces speakers
- 4:35-6:00 - Speakers deliver remarks and take questions (moderated by Grace)
- 6:00 - guests leave
- 6:00-6:30 - cleanup
- 6:30 - exit

Action items:
A.)  Jess (and others) - please correct anything I've written incorrectly above.
B.)  I need a volunteer to meet me on the 7th floor and get the water bottles I'm keeping in my locker, because I will be in class during setup time.  We'll have to find a different locker or some other place for the water to stay between whatever time we meet and the beginning of the event.
C.)  For event setup and cleanup, who will be available?  I know that Jess and Grace will be there, and I believe Gary and Steve also said they would be there, but please confirm.


2.  Week of Dec. 2 - PREEA Election
All PREEA members should have just received an announcement that I've emailed out about the election.  Please refer to that email for election details, but certainly let me know if you have any questions. 

Action items: If you know of anyone who might be interested in running but isn't yet involved that much in PREEA, please encourage them to run.

3.  End-of-Semester Happy Hour / Brainstorming Session?
I seem to recall some emails batting around the idea of a happy hour or something like that to celebrate the end of the semester.  We haven't had a general members meeting like I had hoped, so perhaps we can choose a time and place that works for all/most XCOM members and invite all PREEA members to join us.  We could use this as an opportunity to field ideas from the members about what events and activities to run in the spring semester.  (We already have some good ideas going around - thanks to Jess for getting the conversation started on the Romania event.  As mentioned before, we also need to figure out our role in a GCDC event on regional studies-related jobs in January.)

Action items: Let me know if you are on board with the happy hour idea, and let me know about any suggestions for time, location, and format.

4.  America's Unofficial Ambassadors
I received an email from America's Unofficial Ambassadors (www.unofficialambassadors.org), a program dedicated to building tolerance and partnership between the U.S. and the Muslim World.  They have an internship program that works on grassroots human development issues (women's empowerment, environmental conservation, conflict resolution, youth engagement, etc.) in several countries, including Tajikistan.  They were wondering if we would like them to come brief PREEA members on their Tajikistan internship opportunities. 

Action items: Let me know if this is of interest.  If it is, we can arrange a time for AUA representatives to come present.

I echo Kellen, thank you for all the hard work you guys put in this semester. 

I think we should definitely meet up to throw back some much deserved beers. Are most people free on Friday, Dec 6th? We could talk about upcoming events, the AUA in Tajikistan, etc.

Sounds good, Kellen. One other thing though. I need points of contact to give to the speaker for someone that will definitely be there. I just need one other person to email me their phone number if they will for sure be there. Also, we need to put up fliers. Any way CERES can print some color copies today? I can print some black and white ones but I would appreciate some help putting them up. 

Kellen--what time do you need to meet on Monday for the water bottles? I'll be on campus from at least noon on so maybe we can coordinate something. 

Grace--MSFS has a ball on the 6th so that won't work but maybe earlier that week.

Advertising - Thanks for bringing that up, and sorry to leave it out of the email. If anyone is on campus today, please help Jess print and post fliers in ICC, LAU, Car Barn, and Leavey. (Sorry not to be directly helping - I tried printing these earlier in the week and had some technical difficulties, and today I'm off campus.)

Water - Jess, does 1:00 on Monday work for you?

Happy Hour - Would Monday 12/9 work for folks? We could advertise it as a short study break after that first weekend of study days. Or we could do something before finals on Monday 12/2, although speaking for myself, I will be swamped with finishing up papers/projects early that week for classes that have papers instead of seated exams.

The 9th works for me for happy hour.

As for water, I'm in a meeting from noon-2 and then in class until 3:15 so before 12 or after 3:15 would be better. If that doesn't work or if someone else can't grab the water, I'll just step out to go to the ICC and get it.

I can lend a hand w fliers, but have sadly exhausted all of my prints at MSFS. If someone can print them ill gladly help distribute. 

Jess ill get in touch with you later re: food.

In terms of the HH, I would prefer the 9th if possible.

Hey guys,

I printed copies of the flier but could use some help putting them up in the library and car barn. I got the MSFS lounge and CERES already. 

I'll leave some in my folder (it's under Jagmin Brookins) in the lounge.

Re: Happy hour, yes, please, off campus!

Unrelated: If we can have a quick chat about the LGBT panel sometime during the first week of December, I'd appreciate it. If the panel is in January, we need to discuss timing because confirming speakers in early-mid December is going to be key. (No one will be around in late December, and I don't want to end up in the same situation we're currently in.)
