With Swamiji's blessings, we pulled off a great event today.
 
Truly appreciate all teachers and  volunteers who helped usout  with this event. It could not have been possible without all your support.

Please send your feedback on the program by Tuesday June 7th. Please put in your thoughts on how we can improve JET / PRAJNA programs. We would like to take all your feedback and work on it before we put up a similar program in front of Swamiji / or next year.

Please let me know the following -

1. What were the things that went good in this program?
2. What could have been improved?
3. What needs to be stopped?

I would like to hold a lessons learnt meeting by next weekend so that we can talk about this and then start focusing on the summer camp.

Jai Srimannarayana  Anuji.  Thank you so much for organizing the event.  Everything was so well planned. Who ever involved in it, it was very well organized. All the parents from Cupertino enjoyed the program.  They were very happy.  Kids felt happy when they got their trophies.  And also thank you for the appreciation and thoughtful gift.  It is invaluable.  

Thank you so much Archanaji and Madhuji. And also many, many thanks to all the volunteers who involved in the event.

p.s. Except for one single thing.  Only Cupertino teachers were made to stand on the stage.        I know it is for appreciation.  But, it made me remember an instance from my school            days when my teacher made me to stand in front of the class for not doing my 
       homework.

Thank you Kamalaji - The reason the Cupertino teachers were asked to come on stage was because the parents wanted to felicitate the teachers, but thank you for your feedback. I will put this in the 'Need to improve' bucket.

Jsny - Excellent points, Shyamji & Karthikji.

Any other feedback ? I understand some of you are busy at work and
will not be able to provide feedback till this weekend. If you could
take some time Saturday morning to pen your thoughts, then we could
hold a phone / face to face meeting Saturday afternoon / evening.
Fyi - Fremont temple library is available from 6:30 - 8:00 pm if we
would like to have a face to face meeting.

Thank you Sridharji for your feedback.

While I do agree with you that the teachers need to be recognised for
volunteering their time every week throughout the year, it is just
that it did not go off as expected. One of the teachers even felt
uncomfortable being called on stage and I personally feel we could
have done this in a better way.

We could definitely brainstorm on ideas on how we can recognize
teachers, during our meeting over the weekend as well as other points
such as venue, prasadam, mike etc that the other members have felt
could have been better.

First of all I would like to thank and congratulate you and the whole team responsible for organizing this event. We had an excellent event and was very well organized and professional.

I think the team has covered majority of our focus areas for improvement. I think we need to focus on the following:

1) Length of the event.
2) Program variety
3) Neutrality of the venue
4) Stage decoration
5) Quality and process for presentations before sharing with a broader audience
6) Better planned and coordinated announcements and speeches , including Vote of thanks and general announcements
7) Dedicated volunteer base to assist

We can chat more during the weekend. Ramangaru/I will send out an email with a time for us to meet on a tele-conference.

I have consolidated everyone's suggestions / thoughts into the attached PPT. Some of your suggestions will be incorporated into the action items listed on the last slide. Please review before the meeting, if possible, so that we could have a much more effective meeting.

Our performance gave an impression that lot of planning was involved.

Anuji, being the leader/anchor/driver for the event was an asset to the program.  

 

Kudos to you Anuji for all your energy.  It was sad that we forgot to mention about all your work while recognizing everyone.

 

What went well

 

Constant Follow up by the Bay Area Prajna Coordinator motivating students and teachers  preparing them for the event.

 

Agenda was prepared on time, invitation was sent by the Prajna coordinator very nicely to all the kids mentioning them about the attire.

 

Needs Imrpovement

 

 

All the teachers and coordinators were not on the same page regarding the ways things should be handled on that day. Only few people had the momentum and rest of them were panicking and disappointing etc.

 

 It is important that we should have a dry run or at least on the phone what is going to happen on that day  regarding mikes, prasadam, general momentum etc

 

The stage coordinators  and prasadm coordinators should visit the place before hand.

And talk to the right people on the event handling how it has to be done.

 

This time even if the stage, lighting was grand enough, our preparation was not solid to decorate/setup our stage. Usually it will be other way round.

 

Agenda has to be reviewed by all the teachers and see enough time is available for the kids to get ready in between the programs.

 

I also agree with Sridhar Ji and Mahdev ji that trophies have to be given as parents and kids look forward for it.
