Dear Yousa,

Thank you ever so much, and thanks to your friends who have volunteered. This is a really big help.

The stewards will be sitting at fire doors, making sure people keep the pathways to them clear (i.e. don't sit in the middle of the path), and be ready to open them if there is a fire. They must also make sure no one tries to go outside or come in through these doors if there is no fire.

The stall will be selling the programme for the event - a booklet with information about the wayang and the performers. There may be some other things on the stall: perhaps CDs and maybe a sheet for people who want the DVD of the wayang to place an advance order.

There will be a briefing for stewards before the event on what to do in the event of fire or injury to the public. This will probably happen at about 6pm, but I will confirm nearer the time.

You are welcome to come to other individual sessions during the conference for free. However, as money is tight, food and drink is not covered for the conference sessions - anyone who wants these should register. The stewards will be given a free meal ticket for the wayang.

The concerts on Friday night and at lunch times are free to the public - please do promote these:

Thursday 1:30pm - informal concert with Charles Matthews and Charlotte Pugh of music for gamelan and electronics - Jack Lyons Concert Hall
Friday 1:20pm - Contemporary chamber music for gamelan
Friday 8pm - Siswa Sukra concert of classical Javanese music and dance

Tickets available on the door, donations welcome.

Best wishes,

Ginevra

Dear Ginevra,

Please kindly find attached the stewarding schedule on 28th April. Could you please tell
me what do we need to do as a steward and stall person? What kind of program do we need
to sell at the stall? Will there be any briefing before the event begin on 28th April? Could we
get free pass for the other days except Wayang Lokananta night as there will be some
Indonesians including students, families, journalist who might want to attend this event?

Cheers,

Yosua

Dear Yousa,

The most important thing is the wayang on 28th April. However, if your friends have any spare time on the days of the conference and would not mind sitting at a registration table for an hour or so, that would also be very helpful.

I have attached a schedule for stewarding at the wayang. We are asking each steward to do two 1-hour slots if possible. Please could you ask your friends to choose which slot they would like to do, and fill in their name and email address.

I haven't yet worked out a volunteer schedule for the conference, but if people could tell me when they might be free that would be helpful.

Anyone who volunteers in any way is welcome to attend sessions in the conference and will get a free meal ticket for the wayang.

Best wishes,

Ginevra

Hi Ginevra,

Do you mean that you need people to help with stewarding only for one night (28 April) or
the whole event (26-29 April)? For your info, there are 3 of us has expressed their interest
to help so far.

Cheers,

Yosua

Hi Yousa,

Sorry it has taken me so long to get in touch with you. It has been a very busy month!

Please find attached an e-flyer for Wayang Lokananta on 28th April.

We would be very grateful if you and any of the other Indonesian students might be able to help with stewarding during this event. We need people to do 2 x 1 hour shifts on the night, either selling programmes and other things, or guarding fire exits. All these jobs should be inside the hall, so no one will have to miss out on the wayang.

If you and your friends can help, please would you send me their names and email addresses? I should mention that all stewards will get free dinner - Billy Wibisono is sending the Indonesian Embassy's chef up to help advise the Roger Kirk catering staff, so it should be pretty authentic food I hope.

Best wishes,

Ginevra
