Fwd: October Event Dates/ Contract/ Questionnaire

Hello All, I received this communication from Amanda, the manager at the Laurelhurst Club Manager for the club will be increasing starting in October. I hope to hear soon on what they would like to charge us so that we can plan a business meeting to decide how to proceed. Personally, my feeling is That finding another venue between now and October would be very challenging and we ought to be prepared to just cough up whatever we have to cough up to stay at the Laurelhurst this fall, and we should probably have a business meeting as soon as is feasible to discuss what we want to do going forward.

Thank you for completing the questionnaire and for checking in. I wanted to clarify that your reservation with the venue is not considered firm until a contract has been signed.

At this time, your October dates are being held on our calendar with a soft hold. We truly value the opportunity to continue building a lasting relationship with you and your group, and we’re doing our best to accommodate your needs during this transition.

The questionnaire helps us better understand the full scope of your event so we can determine the most appropriate rate moving forward. I am actively working to find a balance between your previous rate and the club’s current pricing structure.

That said, I do want to set expectations that the $1,800 rate for two weekend days is likely not something we’ll be able to offer going forward. We genuinely appreciate your patience and understanding as we navigate these changes, and I’m optimistic that we’ll be able to present you with a new rate very soon.

Once we have finalized that, I will reach out so you have time to review and decide how you’d like to proceed with a contract.

 Can you clarify for me right away whether we actually have a firm reservation for October. I had understood from our previous conversation and emails that we do have a firm reservation, but your email made me question whether that is the case.

It would be really helpful if you could clarify this as soon as possible! It is very late for us to find another place suitable to our needs. 

We have had the “grandfathered in” reduced rate of $1800 for the weekend for a few years, based as I understand from our treasurer on the fact that this is a free public event to which all are welcome, and because we use the club twice a year.

If it becomes necessary to negotiate a different rate, we could  certainly be open to negotiation, however as an organization that is purely funded by donations, we would be most appreciative if the $1800 rate can be continued.

Again, I cannot emphasize too much how important it is to know whether or not we have a firm reservation for October! I hope to hear from you soon about that. Thank you and have a good weekend.
