For those of you who missed it:

Last night, the PNB Personnel Committee reviewed the last
(probationary) surveys used to help evaluate the ED and CFO, and we
decided to send the edited draft versions to the committee first for
review (see attachments), and then to the PNB tomorrow, also for
review.

The committee decided to make the surveys basically the same as the
earlier versions, except with references to probationary period
removed (and one question on each survey asking if the ED or CFO
should be retained after the end of the probationary period).

The invitation letter has also been changed to reflect the deadline
for these surveys, which we decided would be Dec. 28.

We'll need help from all of you during the last week of December and
the first week of January to review the results, and to develop a
report for each survey. I hope I can count on all members of the
committee to help.

Please let me know, by tomorrow night if possible, if the surveys
look OK to you or if you see any errors or anything else that needs
to be changed. Then I'll send them to the rest of the PNB to look at
while we're getting the Zoomerang account configured again.

We decided last night that we'd try to get both surveys launched on
Dec. 13, so that does not give us much time to get everything ready
to go and checked out.

I'm about to launch the ED and CFO evaluation surveys that we
discussed in our last PNB Personnel committee meeting. I apologize
for this getting out later than we wanted, but too many things have
happened to delay this (trouble getting quorum for over a month,
delays due to other critical things in the National Office in getting
the Zoomerang online survey account set back up, and some personal
business and KPFT business for me that has kept me very busy the last
couple of weeks). I'm sorry I haven't had time to follow up more on
this in the last 2 weeks, but at least I'm hoping everyone will have
more time to pay attention to the surveys now that we're just about
done with the holidays.

No one had any corrections to the draft surveys I sent to this
committee a few weeks ago and to the whole PNB a few days ago after I
got them revised on Zoomerang, so I believe we are ready.

Setting the timeline/schedule for this:

Working backwards, it looks like the last opportunity to go over the
reviews with the whole PNB will be the PNB meeting on Friday, Jan.
14. So we need to get everything done in time for PNB members plus
Arlene and LaVarn to get the survey results at least a few days
before then so those who are interested can review them.

I'm not sure we're going to have time nor necessarily need to
generate a summary report based on the surveys, although I do think
they are helpful. Do you think we can go ahead and send the survey
results to everyone as soon as we can do that, and then generate
those reports while everyone is reviewing them? In the interest of
getting the survey results to everyone as soon as possible, I suggest
the following dates:

Sat. Jan. 1 (today): Launch the surveys
Tue. Jan. 4: send 1st reminder to those who haven't responded
Wed. Jan. 5: send 2nd reminder to those who haven't responded
Thu. Jan. 6, midnight PST): close the surveys (response deadline)
Fri. Jan. 7: I'll download all the results, save as PDF's, print and
mail hard copies to all the board and Arlene (and the CFO survey
results to LaVarn) I can also e-mail the results to whichever
members of this committee is willing to help write the summary
reports, but in the interest of minimizing the spread of confidential
personnel information, I don't think we should e-mail them to
everyone. (Same as what we decided for the previous surveys).
Jan. 8-13: Personnel Comm. work group writes & edits summary reports
Mon. or Tue. Jan. 10-11: everyone should get the hard copies, start
reviewing them
Jan. 13: e-mail summary reports to PNB, ED, CFO
Jan. 14 (before PNB meeting): comm. exec. session with ED & CFO to
review surveys & reports
Jan. 14: discuss reviews in PNB meeting

I realize this schedule is somewhat compressed, and we'll definitely
need several of you to write the summary reports, but we really need
to get all this done before the new PNB members are seated,
especially since new ones won't really be in a position to review
the ED and CFO performance for the last year.

Happy new year, everyone!

Below is a draft agenda for the PNB Personnel meeting scheduled for Tuesday evening. I've adjusted it a little from what we discussed at the last meeting, due to changes in the timeline as noted in my note (lower below). Please let me know if you have any comments or suggestions, and please be thinking about whether you can help produce two reports summarizing the management evaluation survey results (as we did a few months ago for our ED and CFO 6-month reviews) starting next weekend, as I mentioned in my earlier e-mail. Those reports won't happen without volunteers from this committee to do them.

Please make every effort to call in for the meeting. Remember we had a very difficult time reaching quorum for over a month (at least 4 unsuccessful tries at a meeting), and there is important work we need to finish before the next PNB is seated later this month.
