Dear Residents,
We take this opportunity to inform you all that the current tenure of our existing Tower Representative (TR) team will be ended on 31st October 2015.
Time has come again to nominate a team of TRs and AoA (Apartment Owners Association) office bearers. Tenure of AOA office bearers and TRs will be one year and performance of the team will be review by residence during the GBM. This change was decided in the General Body Meeting held on 27th September 2015 for the betterment of our society and for fair selection of the representatives and was communicated through MOM circulated on Sep 27th.
Since we are at crucial stage wherein we need to take a lot of decisions, complete the implementation of pending work items and move towards forming an AoA, we need a dedicated and a strong team of office bearers and TRs to take these tasks forward. This time team would be delegated some administrative and disciplinary authority to implement the earlier passed rules and regulations as well as to implement the new rules after clearance from the GBM and this AoA would be a candidate of interim AoA if needed during its turns.
Therefore, to create a better living and a good environment for our families, please join hands and participate in the election process. Motivate yourself and your neighbors & fellow residents to come forward and nominate themselves to become tower representative for their respective towers. This is a never before opportunity to create a difference in the lives of all of Plumerians and will not only give you the first-hand experience & exposure to administration but also provide opportunities to interact with various authorities and builder representatives. This experience will come handy while forming the AoA in future and this team would be nominated for interim AoA if required during this tenure.
We sincerely hope that all residents shall participate wholeheartedly in the selection process and thereby help the society by electing the best candidates as tower representatives.
New Team: AOA office bearers and TRs:
There will be 18 TRs from each tower and 5 office bearers in AoA (President, Vice-president, secretary, joint secretary, and treasurer.) 2/3 majorities from TRs will be required for AOA to decide any finance related work.
· PRESIDENT: He shall preside over the meetings of the General Body/Managing Committee and exercise general supervision over the activities of the Association He would be treated as ‘Head’ of the Association. Work related to Project (Builder) and Day to day activities like housekeeping, horticulture, security, civil, electricity and club facilities etc.
Any work related to GNA, Police and any other Govt. Dept. or legal related.
· VICE-PRESIDENT: He shall carry out such duties as may be assigned to him from time to time by the President. In the absence of the President, he shall assume the duties and powers of the President.
· SECRETARY: He shall maintain a register, issue notice of the meetings in consultation with the President and record the minutes of the meetings, be responsible to the Managing Committee for all activities of the Association and will conduct correspondence on behalf of the Association and keep all the records (excluding cash and accounts) of the correspondence with him.
· JOINT SECRETARY: He shall carry out such duties as may be assigned to him from time to time by the President/Secretary. In the absence of the Secretary, he shall assume the duties and powers of the secretary.
· TREASURER: He shall be responsible for making all collections and receive cash and give receipts thereof on behalf of the Association and be responsible for the proper maintenance of Association Accounts, keep regular accounts of money received and disbursed and be responsible for the proper maintenance of the accounts book and other Registers of the Association and for this purpose, he shall post all the receipts of income & expenditure regularly in the Cash Book.
· TOWER REPRESENTATIVE (TR): To work as secretary for that tower, communicate tower related common issues and perform action defined in GBM. AoA will nominate technical committee members from TRs who will bear responsibility of Security, HosueKeeping, Horticulture, Civli&Electrical and Club facilities related works.
Eligibility for application:
· No conflict of interest with operation and maintenance related works.
· No dues of bills (Maintenance & Electricity)
· Candidate should be owner, If not owner then blood relation or spouse can be initial with recommendation letter from owner
Finer Details:
· TRs requires minimum 50% yes voting from tower to win and NOTA option will be there for voting.
· Voter list will be published on next GBM and Voter slips will be made available on the Election Day. Each flat will have one vote and owner of the flat shall have the voting right.
· Owners will be required to come to Club House and cast their vote in person. Owner will be required to carry the identity proof. For the ID proof, any govt issued ID (Driving License, PAN card, Voter ID card etc) can be used.
· In case the owner is not here and wants to cast the vote through a representative, they’ll have to provide an authorization to representative via a signed letter or an email to election commission.
Important Dates:
· Nomination start date—16th Oct 2015
· All related forms can be collected from Estate management office from 16th October from 10 am to 5 pm. On request, forms can be sent on personal email address by the election commission.
· Nomination completion date –8 pm on 24th October 2015
· Nomination form open on next GBM 25th October 2015
· Scrutiny completion date – 26th October 2015
· Publishing the final list of candidates – 26th October 2015
· Vote casting date –9 am to 1 pm 8th November 2015
· Result will be declare just after voting ends
