Co mtg notes 8.12.17

Liz Lisa, Spring

fundraiser planning

silent auction – went through google sheet and figured out if physical object or needs card describing it. Lisa to make display signs and clipboard sign up sheets (name, em/phone, and bid amt)
sak to bring display stands.
Dendy – can we borrow clipboards & golf pencils from Hancock? Can you email Lisa the clipboards’ measurements so she can design the bid sheets? (also, see borrow list at end)

food & booze – Yvonne making vegan treats from farmhouse box; sak to make popcorn, paper chairs to buy cheese tray, olive, nuts, fruit, cruditet, guac, chips, fizz water, la croix, limes, white wine? Red wine? Liz has a bota box, Keg from abgb…. Do we need serving or personal utensils?

do we need lights? extension cords? depends on where everything is...

Tickets – cast & team is comp’d to party but no broader "artists get in free" list.

Whole foods shopping trip on Friday: paper chairs to buy cheese tray, olive, nuts, fruit, cruditet, guac, chips, fizz water, la croix, limes, white wine, red wine, paper plates, paper cups, paper towels/trash bags for clean up?

Signage:
sandwich boards – liz’s Dad makes 2 & sak’s 2
lisa makes “paper chairs party this way!” signs? time enough to paint?

Volunteers-
1 box office – sak
2 concessions – lisa, dendy
1 silent auction helper – liz
1 floater – ryan/dustin
2 parking attendents – need to ask cast? Need 2 people for four 1-hour shifts 7-11pm.

Day of logistics:
porta-potty – hold off on ordering for now– Lisa to talk to Gail
Ice- 12 bags total? - 4 bags drinking, 2 bags to cool la croix, 2 bags to cool food, 4 bags for keg
Coolers – need 4 - 1 for food; 2 for drinking ice; 1 for la croix, etc..
tables – 1 box, 1 food & drink, 1 silent auction
chairs – CMPBS has 20 – Lisa has 30 (can bring over in Ryan’s truck?)
cups – try out mason jars and have back up paper/plastic cups (lisa to talk to Gail)
igloo coolers for drinking water – Hancock or Fusebox or Gail?
Mic – Liz will em Craig

Saturday timeline:
4pm – sak pick up Keg from ABGB
4pm – Dendy pick up ice?
4Pm – Liz & Ryan pick up Lisa’s 30 chairs?
4:30-5pm – paper chairs arrive at CMPBS and start setting up
7pm – Box office opens
7:30pm – Pliny gives tour of property
8pm – Party starts!
8:45pm (ish) Liz gives opening statements, first appeal, hype of silent auction
9:30 (ish) – Dustin does pledge moment (start with $500 and work down? - sak on hand to collect pledge money – cc through square)
10pm – Silent Auction closes
11pm – party ends – liz - closing remarks and thanks, announce silent auction winners? thank you to sponsors

things to think about -
rules to silent auction? List value and minimum bid on bid sheet. Need not be present to win? How to contact winners? (phone vs em)
opening statement
pledge moment - plant someone to make a large pledge? what are levels & descending/ascending order? $500, $100, $50, $20?
closing statement
hype up silent auction all night – talk about sponsors, talk about each item.

FIRST CATALINA REHEARSAL IS MONDAY THE 14th AT LISA’S – dinner and read through at 7pm
(sak will bring wine)

CONTRACTS FOR ACTORS AND TEAM? (sak can make by next Saturday?)

Hey all! You are badasses & this is going to be a badass party. Thank you for your thoughtful planning!

- how many clip boards do we need? The Hancock ones fit a half-sheet of regular 8.5/11, so I guess 5.5/8.5. If they don't have enough I'm happy to supplement
- I work tomorrow and will ask about the water coolers. I think there are two, do we want them both or just one?
- is there anything besides shopping to do on Friday? I can be available that day and any time after noon on Saturday to pick up items, run errands, etc. FYI I can probably fit a bunch of stuff in my car, esp. small items, so bigger things can go in the truck
- Tim Braun says he'll be helping us hype the party, he's adding it to his Week of Dusty - a celebration of his dog getting a commendation from the mayor (it's a very strange world). Might be nice to congratulate him?

Hi Rachel!

Gail says we are good on water coolers, so no need.  The clipboards sound great... do we need 20? Is there 20 at the Hancock that we could borrow?

Just FYI Spring, Gail says yes, a wheelchair accessible porta-potty is a good idea... so lets add that to the budget and to do list.

No need for lights.

They have about 30 glasses we can use, so everyone collect jars and glassware for the party!!! We are hoping for about 100 people, so as many glasses and jars that we can find would be great!

Thanks to Tim Braun!! Seems like an insensitive time to be promoting the party on social media, but maybe tomorrow or Tuesday is a good time to get pushing- in the meantime we can write personal emails to invite folks. We need people to come out and eat and drink and bid on things.
