Just checking in to see what recruiting efforts are happening with school restarting.

We also discussed moving the site to Facebook. Do we have an owner for getting this done?

It's the calendar ready yet?

In the past we have had a recruiting meeting around the third week of school.  It would be good to get started earlier but the timing is tricky with getting things scheduled and approved through the school district.  Among the things that have to get done are:

 Get facilities use form from the school

 Get a copy of insurance coverage from the scouting council

 Choose a date/time for recruiting/intro meeting

 Co-ordinate with the Pioneer District recruitment co-ordinator if we want them to come help at our meeting.

 Submit completed facilities form and insurance document to Don Callejon with requested schedule for MPR for intro meeting and regular meetings

 Create a flyer and submit it to peachjar.com for distribution to Montague, Don Callejon, and Kathryn Hughes schools.  This takes a few weeks.

 Once the facilities use and flyer are approved by the district, start spreading the word.

 Get sign-up packets and signs from the council (I probably have enough already).

Maybe one of you DCS parents who know the office staff
schedule and might be stopping by the office for registration
could get the forms from DCS (or just email Lisa Farmer
lfa...@scusd.net).

We also need someone to volunteer and be trained for a new
position, the Lion Guide.  It's kind of like a den leader for the

Lion (kindergarten) den but the Lions are like the Tigers in that

they don't have one den leader, they have an adult partner for

each scout.  It has to be someone with experience running
den meetings to show the new scout parents how it's done.
I could probably do it since I'm not running a den this year
but I'd like to get someone else to volunteer.

Is there interest in having a leaders/committee meeting before
the year starts?

All of the incoming kinders I know are girls.

Maybe ask Ethan Wu's parents.  They are probably going to the Sunday kinder play dates and could ask if any kinders would be interested in scouts.

I created a FB group for this, just to see what it takes.  The group is private and not findable via search, as it isn't ready.  I've sent invites to Jason / Christa / Mike, so they can request to join it and get added.

The only problem I see with using FB is that not everybody has a FB account.  On the other hand, not everybody has shutterfly accounts, either, so some people have to create accounts regardless.  (If anybody else wants to be added, let me know.)

Once you're added, I'll make you an admin and you can add content, photos, events, etc.

As a first pass, I took the content from the existing page - Mike's intro to scouts, and uniform info.

I presume we're gearing up for an info session soon. Is a date set yet?

Has the facilities use form been submitted? Sounds like this was blocked on insurance.

The MyFacePage+ looked great. Have we all become admins? Are the dates updated in the calendar?

What else do we need to do? I also recall getting the kinder's a leader. Maybe that will have to wait for a volunteer?

I don't think I'm going to sign up for Facebook.

I'll get the insurance docs in the next day or
so and we can get ourselves on the DCS
calendar for regular meetings and a sign-up
meeting.

From experience last year flyer approval takes
an unknown time and we can't really submit a
request until we have facilities approval for a
meeting site/time.  I think this puts our sign-up

meeting around the third week of school.

Maybe earlier if we're lucky.

meeting tomorrow evening?  I'd like to
share what I know about Lions and
get some consensus for some decisions.

I can't make Thursday; Carol has plans and I've got the kids.

Once we have a schedule, I can add it to the FB calendar.  We can also ask at the first meeting to see if folks prefer FB over shutterfly -- I know that FB has a much nicer interface for dealing with events for regular FB users; but no email reminders for folks that look at it irregularly / not at all.  I don't want to see us maintain two different sites, so let's see what our parents would be more likely to use.

Quick update on starting.

Christa has the forms into the school and will be checking each day about the room reservation until we get confirmation. She's also going to ask for permission to hand out flyers.

I'll finish the flyers once we confirm dates.

Target info session is on the 31st.

Target first meeting is the 7th.

Everyone, make sure that we do NOT state or give the impression that
these flyers are approved by the school or the district. The flyers (at
least at this point) are personal communications between organization
members and parents.

I did submit the flyer to PeachJar today with instructions to cancel/
refund if they do not publish it before the event date. Maybe it will
get sent out, but I wouldn't count on it.

Neither Christa, Jennifer, nor I asserted that the flyers were sponsored by the school. I was asked by a teacher if I had permission to distribute and I told her that we had an approved reservation at the MPR and had previously received permission to distribute. Later, I found out from Christa that she was approved _last_ year but hadn't talked with Lisa _this_ year. Mike, please forward any concerns from the school about the flyers.

At best, the process for distributing communications at DCS is confusing and at worst it is untenable. I can't determine if there's one butt-hurt admin who's on a power trip or if we are actually violating some law or policy. Either case could be resolved by escalating to the school board. As far as I can tell, the state of California makes provisions for private use of school facilities as administered by the school board.

In any event, the flyers seem to be a success as we handed out over a hundred.

The info meeting is at 6:45 tonight in the MPR.

I'm bringing signs, flags & stands, info kits and applications,

and I'm planning to MC but I'm always glad for any of the

other leaders or parents to jump in and talk about a topic.

Scouts are optional to attend today but should be in uniform

if possible (I'm sure many don't have their new caps/

neckerchiefs, that's fine).  If we can draft a color guard

that would be nice too.

Can someone arrange an activity for any/all kids that

show up?  I'll bring the dodge/volleyballs but something

more creative and less disruptive to adult discussions

would be better.
