Hi all,

I'm new to the forums and need to start off by asking a quite in depth question, for me anyway.

So here it goes:

My boss has set me a task to see if i can find a way to print our quotations to pdf format (to email to customers etc).

However, our quotes are not all contained in one document.

Step 1. We use a database/quoting system that creates the actual costs and saves/prints them to an Excel document.

Step 2. The same system then uses the total cost from that excel document and places it in a word document (for the face page). There can often be numerous of these face pages if we are quoting the same thing to numerous enquirer's, as this page includes the address to send quote to etc.

Step 3. We then externally create a word document of quote specific notes, terms, notes and conditions etc.

Therefore i have three different documents that I have to convert into one PDF (and possibly numerous front pages that need to be distinguised between), and these documents aren't saved in the same place, however they are saved in the background by the database/quoting program, but they are not saved with filenames that correspond to each other outside of the quoting/database system.


This is beyond me, but I think I need to ask questions of the quoting/database designers to see how the filenames correlate, and from there a batch process can be made???

I am clutching at straws at the minute, so any input would be appreciated.

If your database allows remote connections via ODBC or OLEDB then you
might consider
using a more direct process of a PDF form created with Acrobat or
Designer dynamically
populated from the database. This could handle the cover letter text and
the quotation form.

However, this would require an intermediate level of knowledge of
JavaScript and database queries.

The ultimate path you take for a solution would depend several variables
such as the number of potential
quotes / cover letters that need to be processed in any given session
and the degree of automation you are looking for.

But basically it is possible to have a high degree of automation using
only PDF Forms and a direct connection
to the database.

I would look at the use of a programmable document conversion
solution such as AdLib eXpress (http://www.adlibsys.com) or ActivePDF
DocConverter (http://www.activepdf.com).
