Ideally it would be a number that would continue on from our existing invoices and count up from there, however I am thinking im only going to be able to achieve witha formular that may be abeilt random as you have suggested. I would love to give it ago to see if I can get it to match our needs at least to a small extent

Hello, I'm going to be ordering a Terminal next month, I Googled to read up on it, but can't find a few things. First, I'm assuming it's like the POS app on my iPhone and I can create invoices directly on it right? I haven't used my Square reader in like 3 years, so I've never generated an invoice. I created a test one online tonight to see how it works. I can mark it as POS for payment. On the iPhone app I'm not seeing an option for that when I create one. If I want to let my customer pay on my Terminal, is there any way I can create an invoice that gets emailed as paid directly from the Terminal? I hope this makes sense, I might be explaining it poorly.
And an invoice question, why is there no way to search them for items? I thought maybe I was doing something wrong, but when I hover over the search bar it pops up telling me what I can search for. It seems very limiting that I can't search for items. Is there any way around this? I detail cars and being able to search all my invoices for people who got specific add-ons, or certain packages would be a life saver.
You are correct Invoice searching is limited. The only thing you can do is print a copy of the invoice for yourself. Until the invoice is paid there is not much you can do with it as far as searching and filtering go.
Jumping in on this - I use the PC dashboard to create invoices usually because the physical keyboard is easier to add all the details. However, most people pay their invoices in person so I use the POS app/card reader to take payment.
Hey @cmusicshop great question, so yes, to confirm, you can pay an invoice through the Square Terminal and the process will be almost identical to paying an invoice in the Point of Sale app. You will need to select the invoice you need payment for, scroll until you see "Add Payment", then choose "Charge $xx.xx now."
I had an order yesterday to be sent as a gift to someone other than the buyer. It is not a business customer order and I am not VAT registered. On checking my orders it says I have to upload an invoice for that order - the buyer has not requested one, but Amazon say I have to.
I have an admin who creates and assigns invoices on an occasional basis. She created an invoice and clicked the "Assign" button at the top right to move the invoice to the reviewer who needs to see it. Instead of the "Assign Invoices" email box screen so she could enter the reviewer's email, the "My Invoices" screen opened. She clicked on the invoice to assign in but the "assign" option was greyed out. She ended up opening the "All Unpaid Invoices", opening the invoice in that screen and assigning the invoice from there. This hasn't occurred for her before altho I have several reviewers who have problems opening invoices they need to review unless they "unassign" the invoice and then "assign" it once they've reviewed it.
However, assigning an invoice is more to give it to someone to complete and then submit, not to review and approve. At least in my experience. Anyway, I'll await your private message. This is a huge issue and there seems to be no reason for it. It is impossible to Delete or Void an invoice after a certain point. If an invoice is accidentally marked paid it's locked. You can't delete it, void it or unassociate it, so it is just permanently **bleep** up. This is unacceptable. Nothing should ever be impossible to undo. I have clients now that show multiple paid invoices because one was marked paid with the wrong amount. So a new one was created with the correct amount and now they show double paid. To not be able to correct this is absolutely laughable.
@BEastom8 I hear you, and I think your point about not making mistakes permanent is a good one. In the case you described above, we would allow you to create a manual payment object for the check, then delete it when the check bounces, then create a new record for the bank transfer once it was processed. The mistake would be able to be corrected. This is not possible today, but it will be very soon. We actually have a beta launching this week for manual payment creation/deletion if you would like to try it out.
1. We're currently working on enabling you to edit finalized (i.e. OPEN) invoices, so hopefully that reduces some of the pain associated with making an invoice, then having to VOID it in order to make changes. We'll make a big announcement when that feature is available, though I expect it will land sometime in Q1'24. You will also have a setting to prevent anyone from editing invoices, if you would prefer.
2. I wouldn't expect editing PAID or VOID invoices to be a feature any time soon, however we will eventually build a way for you to remove payments from an invoice, which would enable it to be edited, then the payment could be reapplied (or not). Manually created payments will also be deletable. This behavior matches what we see in other billing/accounting systems, and we feel that invoices should not be created until a customer has agreed to pay.
