Orford Day Unapproved Minutes

Dear Robb:

Thank you for the draft minutes of the May 5 meeting of the Orford Day Committee.

My first question: why did I come away from that meeting thinking, and writing in my calendar that the Committee is to meet again on Thursday, May 19, at 7 p.m. ? (I recall thinking that it would coincide with the monthly meeting of the Conservation Commission.)

Regarding the draft minutes and the section dealing with the 250th booklet proposal, I don’t take issue with the substance of the additional sentence you added to the motion that was approved by the Committee to the effect that the 250th Booklet Committee will report to the 250th Committee [sic] with a finalized plan and budget before any funds will be allocated. However, from a procedural standpoint I can’t agree with the notion of recording something in the minutes that in fact was not said or proposed at the time.

You are correct that $2,000 is a substantial amount of money and it makes sense for a finalized plan and budget be presented to the Orford Day Committee before funds are allocated. And Paula agrees with that, as Chair of the Board of the Historical Society, which has agreed to be the publisher of the 250th booklet. That should be done, but if the next meeting of the Orford Day Committee will not take place until June 30, that is much too late for timely production of a booklet to be available no later than August 13. However, we could agree that a finalized plan and budget could be presented to the O.D. Committee via email ASAP with comments and suggestions welcomed. And we could also provide Terry, as O.D. Committee Chair, with updates on the plan and progress, which he could share with the Committee as appropriate.

Paula and I have made proposed revisions in the draft minutes that are shown via Track Changes (please see the two enclosures for pages one and two of the draft minutes).

   Thank you for your input.  I will be willing to retract the additional statement of the motion if it is the will of the group.  The other suggestions I will take into consideration.

My suggestion is to  amend the motion to include the new sentence.  And, do it via e-mail with the vote to speed it up?
