I won't be able to attend due to prior commitments, but I have a format idea for either this event or future ones.
Last weekend for the Crisis Commons Founders Weekend we truly embraced our roots of open source, collaborative and crowdsource.
Video/Content Sharing:
The event was ustreamed. This helped attendees from LA and the UK attend.
For OpenWebTo, this might be great as some of your Toronto audience might be able to virtually attend. Your content could be shared and used as a learning/community building tool for later by enticing more bright minds to join up. We are already seeing the benefits in spades for Crisis Commons. Our virtual attendees really applauded our unique approach of engagement and online collaboration using video.
Collaboration space:
We used the Ustream chat, Etherpad chat and writing space to collaborate. Unfortunately, we did not capture the full chat for Ustream(next time). Etherpad (free version) only allows 16 attendees in the chat pad, so it makes it hard to have a true collaboration if you have a large audience. We took notes on Etherpad and shared ideas. This provided "instant minutes" and brainstorming space.
Coordination:
We assigned one person (myself) to handle the main chat spaces and field questions/comments on their behalf. It was busy, but possible. If you go this root, I would recommend that a projector be used to show the chat and collaboration once James is done presenting.
It was an invaluable way to build our community. I really leave this decision to you. If I was able to attend, I would help build this. I welcome questions on and off list. Collaborative video is the future of events and presentations. I think it is part of the glorious Internet adventure.
