OKC PRIDE MEETING 2/26/09


Members present—Kelly Carter-Scott, Dean Crawford, Dustin Green, John
Gibbons, Sonja Martinez, TJ McKinsey, Patricia Miller, Latricia
Olmstead, Guy Peters, David Smith, Paul Thompson, Steve Thompson,
Miles Tompkins, Todd Clark, Don Derrick, Shane Green, Scott Jaggers,
Brad Murray, Ryan Smith, David Templeton, Corey Kehn, Jessica Cook,
Jamie Mayo, Kirk Martin, Renee Anderson, Lindsay Waldrop, Holly Busch,
Glen Lovin, Neill Spurgin, Keith Kimmel, Lori Lyon, Colin Raley

Meeting was called to order at 7:05 by Paul Thompson.

Patricia Miller made a point of order and moved to move the recent
election issue to the top of the agenda. Motion was seconded and
approved.

Paul Thompson informed the membership that there was an objection to
the recent elections by an OKC Pride member. Paul consulted a
professional parliamentarian and it was found that the elections were
not valid because we did not make an announcement to the general
membership 14 days prior to the election which is required by our
bylaws.

It was moved by Ryan Smith, second by Sona Martinez to post an
announcement that elections will be held on 3/2/09 and move on with
the meeting. Motion was approved.

Introduction of guests—Keith Kimmel, Pastor Neill Spurgin from
Expressions Community Fellowship, Miguel from PFLAG OKC, and Rachel
Sullivan and her parents.

Secretary report—Dean Crawford reminded us that our community is made
up of more than just those people who go out to the bars so we need to
remember that when planning our activities. The spelling of the names
Sonja Martinez and Colin Raley was corrected on the minutes from
2/2/09. Ryan Smith moved, with second by Miles Tompkins, to approve
the minutes as amended. Motion approved.

Treasurer’s report—Funds on hand-$3,529.41. the reconciliation
statement is available. We still owe the Zoo $1000.00. We have
received an invoice from the Zoo. Ryan Smith moved, with second by
Miles Tompkins, to accept the Treasurer’s report. Motion approved.

Co-chair report—Paul went to the Parks & Recreation department and was
told that we can have the festival at Memorial Park. One of the
problems we have with Memorial Park is the vendors are charged $100
per day by the city.

Committee reports

Festival—cost is same to move from Remington Park back to Memorial
Park. The total for 2 day festival is $14,650 and for 1 days festival
is $13,575. Difference is $1,075. TJ polled some vendors and 11/12
said they would not participate if we had a 1 day festival.

Entertainment—budget was $2500 last year. We had continuous music
from noon to 10 on Saturday.

Parade--3 fundraisers tentatively planned. The 1st one for the 1st
Friday in March at The Boom. The second possibly at Partners and the
third at The Boom. Investigating the idea of a block party down on
the strip before the parade with different entertainment.

Volunteer/Membership—we have 171 volunteers and 48 members. The 1st
volunteer meeting is being planned for March 28th or 29th. Miles
plans to get information from the volunteers regarding their strengths
and where they would like to volunteer.

T-shirt/Fundraising—We sell 400 to 500 t-shirts every year. We have
received a donation from a gay resort in Las Vegas that we can raffle
at the festival.

PR—a list was sent around for members to sign up to be on the
committee.

Website—Guy would like to create a directory of organizations that are
non profit GLBT and GLBT friendly.

Teen/Student—it was suggested that we contact a gay/straight alliance
at the high schools. A list was sent around for members to sign up to
be on the committee.

Old Business

Board training—The Neighborhood Alliance is holding a parliamentary
workshop 9 am to noon on April 4th. OKC Pride has been invited to
attend.

Emergency policies and procedures were presented to the membership.
Some changes were made in the spelling.

New meeting place—we still need some place to hold meetings on a
regular basis. Next meeting is at Days Inn @ 7:00 pm on 3/2/09.

New Business

Interpride membership—Interpride is a national Pride organization that
has direct contact with boards and member of other Pride
organizations. We get good stuff at Interpride to include in our
goodie bags for the volunteers. Motion made by Steve Thompson, second
by Neill Spurgin, payment up to $100.00 for Interpride membership.

Fesitval—Motion by Scott Jaggers, second by John Gibbons, to focus on
a one day event and set the date for the event. Debate was held.
Motion by Keith Kimmel, second by Sean Spivey, to close debate.
Motion passed. Roll call vote. Those voting for the motion were:
Todd Clark, Dean Crawford, Don Derrick, John Gibbons, Dustin Green,
Shane Green, Scott Jaggers, Corey Kehn, Kirk Martin, Sonja Martinez,
Brad Murray, Latricia Olmstead, Colin Raley, Ryan Smith, David Smith,
Sean Spivey, and Steve Thompson. Those voting against the motion
were: Kelly Carter-Scott, Jessica Cook, TJ McKinsey, Patricia Miller,
Guy Peters, Hunter Phillips, David Templeton, Miles Tompkins, Lori
Lyon, Ron Huckabay, Lindsey Waldrop, Keith Kimmel, Glen Lovin, Rachel
Sullivan, and Neill Spurgin. Motion approved.

Special Treasurer’s report—Motion by John Gibbons, second by Ryan
Smith to have the Treasurer prepare a special report that details the
following:

Total income and expenses for 2008 OKC Pride.
Income to be separated into the following categories:
Pride Parade Registration fees—What organizations paid fee(itemized
and how much did they pay?
Festival Vender and Sponsor fees—what vendors and sponsors paid fees
(itemized) and how much did they pay?
T-shirt sales and concessions
Fundraising dollars
Misc. fee income. Any and all other sources of income.

The itemized list above should equal the amount of all revenues
generated by OKC Pride for year ending 2008.

Expenses for 2008 OKC Pride
What expenses were specifically paid for in connection to the
parade?
What expenses were specifically paid for in connection to the
festival?
What expenses were specifically paid for in connection to
administration of OKC Pride?
What misc. expenses were paid, to whom, and why?
Any fees paid that cannot be specifically applied to either the Parade
or Festival should be split equally between the two.

The itemized list above should equal the amount of all expenses
generated by OKC Pride for the year ending 2008.

Are there any unpaid bills remaining at this time?

Motion approved.

Motion by Ryan Smith, second by John Gibbons, to have special
Treasurer’s report by the 3/2/09 meeting.
Motion by Dustin Green with second by Steve Thompson to have our Pride
celebration on 6/27/09. Motion approved.

Ryan smith moved to adjourn. Motion was seconded and approved.
