Board members,
So far we have only had 50 tickets picked up to sell- all from board
members. But if you have not yet picked up and begun selling your tickets,
may I send home 10 or 20 in your child's Friday folder?
Please rsvp to me or to ka...@nvcs.org if it's after Wednesday.
Thanks for your help with this most important fundraiser!

Hi Carolyn,

I think we may need a personal touch here - if the fundraising committee would be willing - I would like to divide up the NVCS phone directory equally between us and call each of the families.  We can use this opportunity to:

Explain the Wisecrackers night more fully 
Talk about the late show ticket option
Ask if they can think of any auction donations that they could obtain (from businesses that they know) and how to get a 'tax letter' from Kara
Explain that tickets can be picked up or send home in Friday folders (no cash required up-front) and unsold tickets and cash should be returned by the 10th January.
Give some ideas on getting tickets sold - eg. use it as an office social, put a ticket in a secret santa pile, get family and friends out for the night
Fill them in on the babysitting - kids have fun, all kids (not just NVCS) kids welcome - all ages etc.

THEN - for those who really are not interested, try to encourage them to at least help with getting auction donations and/or help with the babysitting!

We can stress that this is the major fundraiser for the school - without it we will not reach our fundraising target and the school budget will be affected as a result.

Committee Members, please let me know if you are happy to help with the phone around and I'll allocate sections of the phone book.

Carolyn - please send 20 early tickets and 6 late tickets home with Georgia.

Hi Nina and Carolyn,

I would be more than happy to call people and explain. You can tell me which names to telephone. Also, can I have the total cost of baby sitting for the duration of the show?

 As I was suggesting earlier- parallel to this effort,  may be two weeks before the show, we should advertise it, for free where possible:

1. Phone calls are one form of advertising.

2. Print a few flyers out and put them up  on bulletin boards of other organizations we visit. (I can do about 3 places ). If anyone else wants to put them, that would get greater visibility.

3.Let WPSU know and request them to announce this on air. They do it as a part of community relations and it is free.I can do this too.Though it is not guaranteed that they will announce.

4. Channel 4 would be a great place to advertise this. I contacted a person who once did it for another nonrpofit. It was free then. Unfortunately I have not heard back from her. But if anyone else knows a way-that would be welcome.

5. Also, if there are other ways of getting visibility and hopefully selling tickets, folks should try it.

I guess I have mixed feelings about making phone calls. It would certainly
be the best way to get the information out, to answer questions, and to
make a "hard sell." I know I have a hard time saying no to people who
solicit on the phone, thus I don't like to make or receive the calls.
However, if folks will do it, I bet you'll find some success.

Indeed, phone calls makes it more direct marketing.
I see both sides of the coin, so to say. I did not know anything about the comedy show or what it meant to the school, last year, until I bumped into Nina and spoke to her casually about it. At the same time, some people may feel uncomfortable when approached by phone. So there is a need to inform, but what is the best way of doing it?
We can have reminders around the school- on the doors, on the bulletin board, where the calendar is, on the table where the parent volunteering log is( as for Tate farm products), post flyers near all the obvious places.
If there is a youtube link for the comedy group, may be that can be included in the forthcoming newsletter?

I can see that this discussion is hitting the whole board, so sorry if this is crowding your inbox!  I am keen to do the phone communication and I agree that it should be handled with a softly softly approach.  It is frustrating that people seem to skip read the newsletter, but that is the reality.  Pallavi was not the only parent I spoke to last year who did not know what the comedy club was all about - some people thought it was a bunch of school parents getting on stage to do a few sketches and had decided not to come on that basis!

The notice board at school only gets seen by those parents that go into school when they drop off and pick up - the vast majority of parents do not even set foot in the building on a regular basis.  And finally, people just don't get around to asking questions - they may read the newsletter and wonder if the comedy evening is good thing or not, but that is as far as it goes.  We need to properly inform the parent community - they are our greatest marketing tool, advertising in general around town might get us a few extras - but the people most likely to turn out are those attached to, or know someone attached to the school in some way.

Is there anyone on the board who feels we should not make phone calls?

I'm with Carolyn.  If the Fundraising Committee wants to make the calls that is fine as long as it is a "soft sale".  There really is alot of information to be shared.  Could we also send something home in each child's folder???
