Old template sent

Hello,

I had a really strange result today. The form mule add-on triggered normally but sent an old version of my template before sending the new version.

Any suggestions for why this happened? I've double checked the number of templates set-up and only my most recent one is there. 

Any idea!?

Did you by chance set the merge jobs using a different email address?

Is this happening more than once?

Hi Joe - I always make sure that i'm only ever logged into one google account at a time when using FormMule as i've hit problems with multiple accounts in the past. 

When I made the change to the template it would have been with the one account. 

I have noted that I made this change to the template back at the start of December. The emails sent after then had been fine! Just for some reason, the first trigger in January has used both the old and new versions! 

I hope i've explained that well enough

This issue is still persisting. 

I have only 2 email templates. An older version of one of these templates seems to be sending in addition to the newest version. I cannot find the old template in my spreadsheet anywhere (including hidden sheets). The spreadsheet history shows that the template was changed on 3rd Dec and sent normally after that. Do the logs show anything different?

Hello Brad,

Thank you for providing your user key and for explaining the issue so clearly.
Under your key (which provides error logging for every form mule job on your account so the results might not apply to the job you are inquiring about):
I see a few current errors: 
"Manual send failure: failed to load sheet with id undefined" & "Error on time trigger, no item with the given ID could be found"
Both of these errors have to do with Form Mule pushing out the email and by a manual push by going to "Preview and Send all" and on an automatic time trigger, Form Mule can not confirm access to the spreadsheet. (These errors could be occurring on different sheets) Usually, these mean that the spreadsheet is on a Team or Shared Drive; the spreadsheet has been placed in the trash ( but the trigger is still on) or that the account trying to push out the emails does not have edit access to the file. ( I said you are diligent about only being logged into one account but that could also be another reason for these errors)

The other error being logged relates to Form Mule being connected to the wrong tab on the spreadsheet, you should be able to see if this an issue by going to the dropdown menu go to step1. "Choose source data and set merge type" and then make sure the correct sheet is selected. (If there is no sheet selected here, this can also lead to errors)

I can't see how any of the above-listed errors would cause the behavior you are seeing. Just to recap; you have two current templates so there are only two 'Send Status' columns on your spreadsheet. Within this spreadsheet, you do not have a hidden tab with the old version of the template. This Form Mule job runs on a trigger ( time/form or both?)

Can you see from the 'sent' tab in your inbox that both versions are being pushed out at the same time?
Can you turn the triggers off and then do a test email push to another email account your own, either by filling out a mock form or manual push in the module, do both versions still send out?

Hi Amanda,

Thank you so much for your speedy and comprehensive reply. I hope to provide some more details and answers to your questions. 

Firstly - today I used the "Preview and Send all" feature to test Form Mule for a test row I added - it worked ok, it sent the email using the correct template. 
I can confirm that the spreadsheet is not on a team or shared drive, it is not in the trash and the account sending the emails does have edit access to the spreadsheet. 

I checked to see if form mule was connected to the wrong tab, in step 1 "Choose source data and set merge type" it shows as connected to the correct tab. 

My form mule job runs on a day trigger (I've attached some screenshots).

Interestingly, when I check my sent box in the emails, the old template gets sent out at 1!:22am and the current template at 12:34pm. 

I've just done another test, with the triggers turned off and used the "Preview and send all" - it sent the correct template. 

Attachments: 
- This one shows that it is connected to the correct tab, called "Sheet1" (no space).

This attachment shows that there are only two templates. The one which is causing a problem is the one called "Reminder". The final screenshot shows the only tabs in the spreadsheet.

I hope you don't mind a suggestion.  Make sure you think through my suggestion so you don't lose any data.

I'm thinking that you have another merge that you can't see but that Google thinks is still connected to this Form / Spreadsheet combination.

I would try changing the output to a new spreadsheet via the Form Responses output.

Once you are sure that your data is in the new spreadsheet, make a copy of the old spreadsheet for history.  Any jobs on the old spreadsheet will not be copied.

After you have double checked everything, delete the original spreadsheet and the go into your Trash folder and delete it there.  That should kill any jobs associated with the old spreadsheet.

Are you using any other Add-ons with either the spreadsheet or the form?

Taking an educated guess.  I don't see any other complaints of the same problem.

Hi Joe - 

Thank you very much for this suggestion, I think I agree with you that there is some sort of old Form Mule rule that I cant see which probably came about after I changed some wording in a template. 

Your suggestion seems like the most efficient and practical solution to this issue. (I appreciate you considering any data loss!). 

It is such a shame that it had to resort to "starting from scratch" - hopefully this issue doesn't appear again!
