Is it just me, or does this happen to you as well? Every certificate we send seems to land in the Spam box. Can anyone shed light on this issue and suggest optimal ways to rectify it?

There is something in the settings.

It could be the way your domain is setup or the receiver domain.

Thanks, Joseph, I don't use Certify'em I use Autocrat for automatized sending certificates created in Google Slides. I check the link and still there is no specific solution.

Is this happening to others?

I don't think so.  The help for certifm should help.

Make sure your domain is setup like described in the help


I'm not an expert but I know where to find help.

Most folks don't have a problem.

You should try to get access to a message that has been sent to spam and examine the headers. ("show original" or something like that). Most likely, you will find in there something that indicates why this message has been marked as spam. Again, most likely, this will have something to do with an SPF failure, DKIM failure or both. There are plenty of resources available on how to set both of those up for your email provider. This mailing list is not the best place to get that information. Just google for "setting up SPF" and/or "setting up DKIM".

NB: although these mechanisms are fairly straightforward to set up, they require you to add specific items in the DNS for your domain. If that seems difficult for you, get someone to help you out. It is fairly easy to break things if you do not know what you are doing.

You mentioned that same add-on before. I am sure you are trying to be helpful, but the solution to mails going to spamfolders in general (i.e. being flagged as spam by the receiving end) has everything to do with setting up SPF, DKIM and DMARC. (and pretty much nothing with Certify'em).  Certify'em is an add-on that will take information in a google form and automatically mail someone a formatted document based on the information they entered. Although I'm sure it works fine, this is hardly rocket science and more to the point: it is the bread and butter of what AutoCrat does. (for free, I might add).

Now, deep inside three levels of support documents, Certify'em does mention SPF. It fails to mention DKIM or DMARC. It also has some information that is more or less superstition ("account in good standing", "waiting to get better") and downright wrong ("you get higher mail limits if you pay a certain amount up front to Google").

In short: please use references to actual information on SPAM fighting technology (some links below) and refrain from sending people up the wrong tree.

I was not suggesting that someone switch from Autocrat. I trust that the writer of  Certify'em has done his best to include as much information as possible.

I could have posted just this section.

Setup SPF Records (avoid bounced/rejected emails)

Next, setup a common DNS mail record called an "SPF" record to avoid your domain being confused for delivering email spam when sending automated certificate emails. If your domain is thought to be sending spam (vs just large numbers of certificates), it can result in many emails sent by Certify'em getting bounced/rejected.

To see if you already have an SPF record setup for Google Workspace, visit https://mxtoolbox.com/spf.aspx, type in your domain name (i.e. mycoolclub.com) and click "SPF Record Lookup".

    • If you see the message "SPF Record Found", and includes something like "v=spf1 include:_spf.google.com ~all", then you're all set!

    • If you see the message "No SPF Record Found", or the record listed doesn't include something like "v=spf1 include:_spf.google.com ~all", then you'll need to setup an SPF record for Workspace. See below.

To setup an SPF record for Google Workspace, you will need the ability to modify your domain's DNS records. This requires a login/password to the registry from which you purchased your domain name (i.e. GoDaddy, Google Domains, etc). If you're not the one who purchased the domain, you'll need to ask that person to do this for you (i.e. your organization's I.T. admin).
