I used ChatGPT to write an apps script today to take over one part of the role of AutoCrat—taking data in a Google Sheet and populating separate files for each record based on tags in a template. It's working so-so, but is just the first part of what I use AutoCrat for. It lets me know that I can figure out a way to make it work if AutoCrat cannot be relied upon. Carefully constructed and specific prompt input is essential as well as a beginning knowledge about Apps Scripts.

Recently, the Autocrat extension (developed by New Visions for Public Schools) has experienced a global outage, displaying the error message:

"There are too many executions running simultaneously for this Apps Script project at this time."

New Visions has communicated that this is a matter of execution limits and that they expect to resolve it soon through a temporary quota increase. However, this solution raises fundamental questions:

  1. Is it truly sustainable? If the current limit has already been exceeded by legitimate user demand, what guarantees that the new threshold won't be reached again?
  2. Who bears the long-term cost? If these increases generate unsustainable economic burdens for New Visions, what will happen to the thousands of educational implementations that depend on this tool?

Autocrat is not a luxury: it is a critical extension for educational institutions that automate basic processes such as mass document generation, certificates, or personalized communications. Its stability cannot depend solely on the goodwill of an external developer.

I propose two complementary paths:

🔹 Short term: Actively explore viable alternatives (even if there isn't a perfect drop-in replacement today) and document hybrid solutions using native Apps Script.

🔹 Long term (and more important):

  • That New Visions consider releasing Autocrat as open source. This would allow the community to maintain forks, adapt translations, scale infrastructure collectively, and avoid the risk of a "functional monopoly" on such an essential tool.
  • That Google integrate this functionality natively. The combination of templates with Sheets data is a basic operation that any modern office suite should offer without relying on third-party extensions. If Google aims to seriously compete with Microsoft 365, functionalities like this should not be left in the hands of external wills.

This is not about criticizing the excellent work of New Visions, but about recognizing that tools critical to education deserve a sustainability model that transcends individual goodwill. The educational community needs guarantees, not just hopes.

Is anyone else working on alternatives or has experience migrating Autocrat workflows to more resilient solutions?

New Visions ha comunicado que se trata de un tema de límites de ejecución y que esperan resolverlo pronto mediante un aumento temporal de cuotas. Sin embargo, esta solución plantea interrogantes fundamentales:

  • Que Google integre esta funcionalidad de forma nativa. La combinación de plantillas con datos de Sheets es una operación básica que cualquier suite ofimática moderna debería ofrecer sin depender de extensiones de terceros. Si Google aspira a competir seriamente con Microsoft 365, funcionalidades como esta no deberían quedar en manos de voluntades externas.

No se trata de criticar el excelente trabajo de New Visions, sino de reconocer que herramientas críticas para la educación merecen un modelo de sostenibilidad que trascienda las buenas intenciones individuales. La comunidad educativa necesita garantías, no solo esperanzas.
