Help! RANDOM issues: "Rate limit exceeded",

I've used autoCrat for many projects, and despite its occasional quirkiness, I love it!  However, I am having crazy issues this week.  We're a school so most of our autoCrat projects are not running over the summer.  I'm working on a new project and I assumed the issue was with my new project that I started at the beginning of this week.  However, today I went back and tried to run a very simple autoCrat demo that I have and got the same random results and error messages.

Not only am I getting error messages I've never seen before, but if I run autoCrat for the EXACT SAME RECORDS different times, which results work and don't work vary.  One record will fail once and work another time!

Result on row 4 when I ran a test this morning:

Hi Kate,

I have the exact same problem happening, just as you stated.  Works fine on some records and then gets the 'rate limit exceeded' on others.  I looked back and this problem started around June 22nd and I would say happens now on every 3rd iteration.

In my specific instance I am emailing the created document (via autocrat) to the person that needs to edit it; even though it sounds like they do not have editing access due to this error, they can still edit since the document goes into a drive folder where they have edit access.  Not sure if that helps in your specific case.

Hopefully someone is checking this thread and can give us some help.  Thanks for posting,

Neal,

Thank you very much for responding to my post!  This at least helps me know that this issue is probably outside anything that we might be doing incorrectly on our autoCrats or within our data.  My biggest concern is that these errors both came up on NEW projects we are doing.  And thank you also for letting me know how you are working around the issue a bit for now, as I can factor that into my thinking as well.

However, we use autoCRAT a lot during the school year, for a large number of different projects, and school starts on 8/12/19 for us.  I'm going to have to do some more testing, but if this is not corrected and is going to affect ALL of our autoCrat projects, we are going to be in a world of hurt by about the 2nd week of August.  (And I am NOT going to want to answer my phone or look at my Inbox!)

Do you have multiple autoCrat projects running?  And have all been impacted since this started?  If I find it's that global, I might have to try to look at switching some of my projects to other approaches.  (Assuming that those tools aren't also impacted as well, if this is something on the Google side.

I'm with you... Fingers crossed that someone in a position to do something about this (or at the very least shed additional light on it) sees this thread.  Summer is not the best time to get things resolved or know how global an issue is, because so many people are not working and so many processes are not running.

I'm curious about this API rate limit error you both are seeing.

Can you please provide your user key from the Autocrat drop down? ( make sure you are only logged into one Google account while retrieving the key, multiple accounts open can cause permission errors)

The user key points to errors that are being logged on the backend, hopefully, we can get some clues from there.

For what its worth my spreadsheet has autocrat set to run on form submit and since July 22nd I have had 12 users submit an entry; 7 of those created the API error, and 5 have worked successfully.  So strange ..

Hello Neal and Kate,

Thank you so much for sharing your user keys.


Neal: the only error I see logged for your key is "Multiple Accounts" being open when trying to run the add-on.
You most likely got prompted to sign out of one of the accounts ( since there was two open under the same domain) and then this would not have caused the behavior you are seeing.
The job you are running is very small, 12 rows should not be causing an error. Are you running many other Autocrat jobs at the same time?

Neal and Kate:
The rate limit error seems to be connected to a quota, do you know what type of Google account your domain has? ( ex: Gsuite free, Gsuite basic, Gsuite for edu) and is the spreadsheet this job is running on very heavy with many rows, tabs and formulas?
How many autocrat jobs total is your account currently running?

I just logged out of all accounts (like I did yesterday) and went into the spreadsheet and got my user key.  It appears to be the same as the one yesterday:

I have a question and maybe this is part of the problem.  With about 1/2 of the times I use Autocrat I mask the user so that the email does not come from me (i.e. we send emergency student information to all parents at the start of the year; I don't want this coming from my school account).  To do this I will go into the dummy account and create the initial setup and then will share the spreadsheet with editing access to my own account where I will do the bulk of the work, set up etc.  So in this particular case where I am having the error, the trigger is set by jski...@email.medfield.net (our HR person) but I do all the back end work.  Is this possibly causing a problem?  Furthermore, is there a better way around this - otherwise I end up with access to a lot of email accounts I don't really want (HR, Nurses, Superintendent, etc).

Here is the spreadsheet - you can see the error starts in row 29 and happens sporadically for the remaining 30 rows.  Autocrat info is in Column Z.

We are G Suite for Edu. The specific spreadsheet that I am using only has about 6 records in it.  However, I do have ONE calculated column in it that is using an ArrayFormula to replicate a calc down the column as form submissions come in.

I do not personally use autoCrat for any ongoing tasks, but I teach it to individuals and probably have a lot of dummy ones that I could delete AND may own a few other people's at this point.  I'd have to check.  When we first received the errors on one of these projects, the autoCrat project was owned by the other person, who would own few if any autoCrat projects (as she doesn't even know how to set it up herself).

Is there an easy way for me to check how many autoCrat jobs I am running?  And if I delete the spreadsheets where I installed those (the ones that I don't need any more) will that automatically delete the autoCrat job from my count?

Would these limits be likely to be individual limits or some kind of domain limit?

If you would like me to supply copies of a spreadsheet or two where we are running into this error, I would be happy to do so.

It appears to still be a drive issue but you are trying to add different permissions.

I discovered somewhere along the way that just deleting a spreadsheet doesn't stop Autocrat. You have to remove the spreadsheet from the Trash. I think that removes the triggers. It is best to remove the time triggers that are not needed even if the file is needed.

Yes, that is the basic complete message.  I did receive variations on it in the various results that I received.  But the frustrating part is that the same item that just failed, if I cleared the autoCrat columns again, would then run properly.  The error seemed random (hence my poor subject line) and not specifically due to a piece of actual data that was causing the problem.

For example, here is one of my early testing sheets when I first discovered the problem.  Once I realized there were issues, I COPIED the results column to column AQ, then cleared my autoCrat columns, submitted one more new form and let them all run again.  As you can see, without even changing data, I got different results on a couple of them the next time around.


I realize that this one sheet doesn't make this look like much of a problem, but I've been testing other examples since then and getting similar inconsistent results.  

I would actually be thrilled if we could find some user error here, because then it would be something I could just fix on my end!

I feel your pain.  With the more complete error message it appears the problem is when Autocrat attempts to change the Sharing Setting of the file that was just created.

I hope the folks at NV can find the problem and get it solved quickly.

This is the most current view of the issue, based on some work I did this afternoon.  I thought it might be helpful if I shared this sheet.  You'll see that I ran the autoCrat 3 times and got different results.  The last set of results is currently in the autoCrat status columns, and my error messages from the 2 runs before that are pasted to the right of the autoCrat columns.  This way you can also see the one calculated column that I do have in my sheet.  (column right before the autoCrat status columns)

I am getting the same error on my AutoCrat process, very similar to the others listed here. The first occurrence was the 25th of June. Nothing changed around that time.

I am also having this same problem on a spreadsheet and a G Suite Edu account.

The spreadsheet is pretty basic and I'm trying to add the user filling out the form and other collaborators as editors to a Google Doc that autocrat creates. But each instance is failing to update the share permissions of the Google Doc.

The Document Merge Status reads:

On a side note, this only starting happening today on one spreadsheet with four entries all happening within minutes of each other. I have a very similar spreadsheet with the same exact setup with Autocrat and is running just fine with an entry as recent as July 29.

Michael,

Is it possible to set the sharing at the Folder level.  That way you wouldn't need to have Autocrat set the permissions.  I have not tested this but it might help until NV and Google figure this out.

Try sharing with the permission of "anyone with the link".  If that doesn't work, use FormMule to tell folks about the file.

Michael I think you are on to something.  I suspect that the one that is running is only having one response at a time.  The error seems to be when there are multiple requests to update the file permissions in a very short period of time.  

I'm guessing that if you ran Autocrat manually and ran only one row at a time, the error would go away.

That isn't really a solution but it would help to identify the problem.

Amanda, I found https://developers.google.com/drive/api/v3/handle-errors I have no idea if there is anything useful there.

I'm new to this group. I am using autocrat and just got a message saying

Unfortunately, other than what you would have already been able to see in this thread, I don't know anything else.  I believe that as we get closer to more and more schools starting we are likely to see more posts under this category because I do think there's some kind of issue here that is creating problems under specific conditions.  Unfortunately, in the summer not as many people are running their autoCrats so it's hard to tell the scope of an issue.

Our staff returns this Thursday, and students Monday, so I am expecting to start hearing that at least some more of our ongoing autoCrat projects are not working.  (I really, really would like to be wrong.)

In the meantime, our best plan is really just to monitor all of our spreadsheets to look for errors, and also, where appropriate, to put some broad share settings on folders in hopes that it will help us bypass some of the Share errors.  Obviously this is not going to work in all scenarios.

In other words, I'm also very worried but don't have any better ideas!

I was having the same "rate limit" issues. The problem was fixed when I changed the sharing permission of the folder containing the merged docs to "anyone with the link" as Joe suggested!

So, I might have spoken too soon. It does look the rate limit error is occurring when more than one row of data is having the autocrat process applied at the same time.

Just an update on our situation since I started this thread.  We've started back to school and the forms where this was an issue are now actively in use.  Given what we're using them for, sharing the documents as a PDF instead of a Google Doc is not an option. (Basically editing forms as part of a routing process for approvals.)  But so far we have actually NOT had this error re-occur since back when I last posted an update a couple weeks ago.  Not enough data to be conclusive, but currently not experiencing the error again.  (Is there a cyberspace equivalent for "knock on wood"?!)

Also, currently the folders where the documents are being placed are only shared with specific individuals.  We are still relying on the individual document shares via autocrat to allow the specified others to see the documents.

I had this problem yesterday with a manual run. The problem is that the person gets the email that it was shared but the sharing permissions were not granted so I then get the email from them request access and have to grant it individually. My email and workload do not need the extra step. Hope a fix comes soon.

Any updates on the rate limit error not sharing the documents with users?  I have the issue for sheets that I trigger manually and on sheets that I have set to trigger on form submit.  There is no rhyme or reason as to why some share and some don't.
