Hyperlink Not Populating Correctly

My AutoCrat merge is working wonderfully except for a hyperlink.

My original google form allows for an upload, which is working fine.  My google sheet contains the hyperlink to the uploaded picture.  It is NOT a required field, so not all records will have an uploaded document.

When I complete the merge, the "Click to view" text which I've added shows up as a hyperlink for all records.  In records where NO uploaded picture was provided (hence a blank or NULL google spreadsheet entry), the hyperlink from a different record is attached (so wrong hyperlink for that record, and ALL records in that merged set).

The easiest workaround for me at this time is to edit the spreadsheet and add text such as "none provided", which, when merged then shows up as an "invalid link" when I try to follow the hyperlink provided in the merged file.

Anyone see this problem and have a better solution?  What am I doing wrong?

Hi  Ellen Kish,

You can create Two different Jobs in AutoCrat for same sheet.
1. One is with Photo upload link - you can set merge condition "merge only if Photo upload field is NOT NIL"
2. Another without photo upload link - you can set merge condition "merge only if Photo upload field is NIL"

I am sure this will work. If not, let me know if any further help is needed.

Hi Ellen,

I'm so glad someone else has noticed this!  I just started using Autocrat and also have an optional hyperlink field.  I didn't even ask to create a label for the hyperlink, so it's not because it's trying to force a label.  And using Pratik's advice doesn't help me because I'm trying to create a single document with all of the records in it.

Is there anywhere to formally report bugs or is this forum all there is?

I believe that NewVisions monitors the group.  I'm not certain what is not working for you.  If you create a new column and use an if statement to put in the link if available and any text if it is not, then use that column.  Autocrat will have something for each row and I believe will work as you desire.

I believe that NewVisions staff is busy providing for the needs of NewVisions clients.  They don't always have time to fix every thing that is requested or reported.

Thanks for the reply.  And I totally get that actual paying customers come first.  I was just wondering if there was a place to formally report a bug.

As for what's not working, Ellen described it perfectly: when a hyperlink field is missing, instead of a blank in the final document, it pulls data from a different row.  This does not happen with Standard fields that are blank.  Your suggestion is a good one; I suspect it can be worked-around a couple of different ways, depending on one's needs.  But I would think that it still qualifies as a bug. 😀

There are no paying customers. Autocrat was written the charity called NewVisions.  I think this is known to happen.  The solution is to make sure there is always something in the URL column.  

Since you want a single file, I'm assuming that you are running Autocrat manually.  Insert a column in the sheet and put an IF formula in the new column.  Refer to the new column in Autocrat.  

If you want to share the file with me and tell me which column has the URL and I will show you how to do it.

I appreciate the offer, but I'm fine.  I'm a software developer myself, so even if I can work around something that I see as a problem, I like to let the authors know about the issue.  If it's "working ask intended" or even "won't fix" I can accept that, too.  :-)
