Description

Job Summary:                  Under general supervision of the Director of Finance, HR & Payroll, the Finance and Administrative Coordinator will generally be performing multiple responsibilities.

General front office duties to include

·        Opening/closing the center.

·        Greet clients, visitors, and guests, connecting them with the appropriate staff.

·        Maintain office to include, ordering supplies and contacting building landlords for repairs.

·        Answer phone calls and connect callers with the appropriate staff.

·        Receive and distribute mail and deliveries.

·        Maintain all client files, both electronic and a paper records system.

·        Coordinate and maintain master calendar of staff appointments, and schedules.

·        Participate in staff on-call rotation to support 24/7 operations.

·        Assist Board and Executive Director with monthly Board Meetings.

·        Maintain employee paperwork for grant reporting and auditing.

·        Log all checks and write thank you letters in Donor Data Base Program.

·        Onboard new employees / Offboard exiting employees, with administrative responsibilities.

·        Health Safety Officer during COVID-19 Pandemic.

·        Provide general administrative support including filing, typing, scanning, copying, printing, organizing, mailings, etc. to the Executive Director and the Finance Department, or as directed by them to assist other staff as needed.

Technology Duties

·        Work with outside IT Administrator to meet the on-going needs of agency and to facilitate agency IT purchases.

 Assist the Director of Finance, Human Resources, & Payroll

·        Perform duties as assigned including working with QuickBooks and attending Finance Committee Meetings.

Requirements

Qualifications

·        Excellent written, verbal, and interpersonal communication skills.

·        Required completion of a 40-hour training session provided by Ampersand and twelve hours of continuing education per year.

·        Knowledge of HIPAA compliance guidelines.

·        Ability to pass a fingerprint FBI background and reference check.

·        Valid driver’s license and reliable personal transportation with appropriate level of vehicle insurance.

·        Willingness to take an intersectional, anti-oppression approach to your work and have a basic understanding of privilege.

·        Some QuickBooks knowledge preferred.
