Dear All,

Firstly, thank you all for the large turnout; your enthusiasm is inspiring.

This is a summary of the meeting minutes, for details consult the minutes attached. You will also find attached the soft copies of:
  • The NOGA Brochure explaining our work and the dining project
  • The letter to Namagunga well wishers with the budget (combined into one document).
Discussion focused on fundraising events particularly the 'Fun Day' which will have a variety of activities running, including:airing movies (for the kids and another for the teens),car boot sale, sale of memorabilia, a career fair booth, a kids play area and the sale of food and beverages. Most or all of the proceeds will be going to Namagunga.

The action points are:
All
Use contact lists and address books to call, email, Facebook people about Namagunga’s fundraising efforts
  • Come for meetings
  • Make contributions
  • Get more recruits for committees
  • Businesses, Corporations, NGOs can volunteer services for publicity
Follow through cost effective ways to get our fundraising activities publicity e.g. Find out charges on Church announcements, gain permission to post NOGA posters and fliers in your respective office and/or businesses

Jacqueline
  • At every meeting, collate and present members with the amount of funds gotten so far

Maria Mwase
  • Forward soft copies of fundraising letter, summarised budget and brochure to all for use in contacting people from their different networks (19/07/2013)
  • By 30/07/2013 start an online auction encouraging different old girls to bid for: The stones for Head Girls and Plaques for the Dining Ministers
  • Develop fliers for members to use publicising NOGA events (‘Fun day’ and Dance)
  • Approach management of Kiwatule Recreation Center for ‘Fun day’ specially asking about available facilities, pricing and the food and beverage situation (19/07/2013)
  • Continue engaging social media and website 

Helen Ndagije
  • Approach Centenary Bank for support (30/07/2013)
  • Continue to update Sister with NOGA activities and the Namagunga Day program 

Vianney Mwase
  • Contact NOGA campus representatives (Liz Oseku) on how to help handle the campus drive (29/07/2013)

Sheila Kangwagye 
  • Develop proposed concept of Career booth (01/08/2013)

Hilda Karamagi
  • Approach management of Wonder world (Didi’s world) for ‘Fun day’ specially asking about available facilities, pricing and the food and beverage situation (19/01/2013)

Elizabeth Mushabe
  • Find out which ‘Thursday’ is available for Dance at Guv’nor and liaise with Rose Lubwama (01/08/2013)

Elizabeth Mushabe and Winifred Kawoya Kaliika
  • Scout and recruit exhibitors for the food fair at the School (approx. UGX 100,000@) from UMA showgrounds Health and Nutrition fair, Makerere Food Technology College, etc.

Dear All,

I went to the Plan B venue for the Namagunga 'Fun Day' - Kiwatule Recreation Center.

We have two major options:

Rent the facility:
  • If we want to rent the whole facility on 31 August 2013 (save for the Pitch - it is reserved for a wedding) the amount is 7 million. And we could charge whatever fee to individuals that will come for the function
  • Food would be available on the premises in form of snacks and buffet but we'd have to pay a minimum deposit of 75% and the balance payable on the function date.
Hike prices
Another option is we could raise their normal fees (or hike prices for facilities at the center) for each individual coming in and get the difference that is to say:
  • Standard Entry Fee: Adult is 2000/= @, Children is 1000/=@
  • Swimming Fee: Adult is 5000/= @, Children is 3000/=@
  • Train ride: 1000/= @ (Adults and Children )
  • Regarding food we could bring in our own but we'd be charged a corkage fee. It would involve 1250/= from each individual eating fromthe buffet and 750/= from anyone eating snacks. However, we are not allowed to bring in drinks, thse are provided by facility  - 1500/= for Soda and  Water while 3500/= for ordinary beer, 4000/= for Tuskers and Guiness.
  • Jumping Castles and Swings are free for children
  • If we want entertainment (music) and a public announcement(PA) system we'd have to bring one ourselves.
  • Since there is a wedding slated for that day, we would not have access to the pitch but we can utilise the main car park and the club house parking which comes to a total of 200 parking slots.
  • All this would require us to have man power in these different places to manage them.

Jackie would be better versed at crunching the numbers and estimating which option would serve us better.

I think Kiwatule is way too expensive & not likely to generate any income for NOGA.

Ok. So it also comes at a cost.

 

He said the rate card is Ugx 10Mn however he can bring it down to as far as 5Mn because of the activities we want to do. However, this is before we even negotiated. So I told him I would be coming to see him tomorrow (Saturday) to pay a site visit and re-discuss that figure.

 

This Fee is for the Auditorium by the way. The rest of the venue is free as people are charged for the rides, which he says go for Ugx 5,000.

 

If anyone would like to come along tomorrow for the site visit – that would be great. Looking at about 2pm.

 

Otherwise, I need to negotiate this figure with him, and I’m wondering if we want to bait with a % of the entry fee?

 

Also at this point, what are we agreeing is the entry fee at the gate per head? Per Adult and Per Child?

Hello,

 

Meeting with Wonderworld, the following were considered:

 

1.       Auditorium

They show movies there at 12noon (for Kids), 2pm (for 8yrs & above), 6pm (for adults – PG 18)

The Offer:  For as long as we align to their movie times, we don’t have to pay for the Auditorium! Also, we have the option to choose the movies that we want to show. Also we can change the timings, not too aggressively though. E.g., from 6pm to 5pm.

 

Also currently they do not charge for the movies. This is covered in the Entrance Fee below

 

2.       Entrance Fees

Their standard Fee is Ugx 10,000. If they are to lose this they have to charge us a hefty 60Mn. I gave them the option of taking up the entrance fee to 15,000/20,000 and we split the takings 50:50. So they don’t lose their earnings. They agreed tentatively (has to be approved by the Directors, but believe it is possible). To re-assure you, they earn (on a busy Saturday when kids are home from school) an average of 50Mn/Saturday! And this is without any advertising. I assured them we would be promoting this hence bigger numbers to take care of any shortfalls in per/pax entry fee. Also assured them that most people thought this place was closed (thanks to Sheila’s insight), hence would open it up to new customers. They agree it’s a viable opportunity.

 

3.       Food

No additional food. Not negotiable. HOWEVER, they have a versatile Food Court. They proposed they would prepare a Buffet and Snacks during the day, and a BBQ in the evening. Charged at their rates.

 

4.       Other Ammenities

We can get the Car Park (I guess a section) for the Car Boot Sale. They will confirm how much space we could have for this.

Washroom facilities are available.

 

Essentially looking like a not so bad deal.

 

I will get final position on Monday regarding their final offer. The idea then is to sit with them and plan this event together to ensure we leverage their facilities to the maximum. From their experience, it does look like we have the potential to raise at least Ugx 50Mn without the other Fundraising activities. Let me know what you think. Should we confirm this offer on Monday? Please let me know.
