Regarding the Event in room 1512 Next Thursday

Hi Micaela,
 
This is Janice again from New Media Task Force. Time has flown so fast and our Technology for Development Pitch Competition event is approaching! We will be holding it a week from today, November 14th.
 
There are a few questions/items I would like to pass by you regarding the logistics for the event:
 
1). We have the room booked at 3pm -8pm. Would we be able to start right away at 3pm? Would it be possible to hold a table outside on the 15th floor near the elevators to welcome attendees and speakers a few minutes before 3?
 
2). Here is the set-up we would like for the room: panel style seating, chairs looking toward the front of the room, table for panelist and a podium for speakers. As we have agreed before, we will need approximately 60 chairs, 2 speaker tables, 2 6' in back for snacks. We hope this can still be arranged.
 
3). Here is the following equipment we would like to have:
About 5-8 Microphones: 2-3 for the podium, 5 for judges table
Projection screen
Projector
Projector remote control
Speakers
Lighting
Extension chords
Judges chairs at the judges table at the front
Table cloth for snacks table in the back
 
Please let us know what is possible.
 
4). Would it be possible to have any time before the event for a pre-test? This is to check that all the equipment is working properly and we know how to use it.
 
5). Are there any other rules we should know about in using the space?

Hi Janice.
Thanks for writing. I submitted your event requests, according to
previous agreed upon setup.

There is another event in 1501/1500, starting at 5:30. This means you
could greet people in the Lobby from 3 to 5, no later.

Any AV must be ordered directly from SIPA IT/AV. You can find their site
on the SIPA web page under Faculty and Staff.

Thanks for your reply. If we can greet people in the lobby starting at 2:30 (30 minutes prior to the event) with a table??
