We had an opportunity to talk with BTony Pana (NJ) last night. Through his guidance and past experience with planning a National Conference, he is reaching out and offering his support to our area for the upcoming East Coast conference.

Below is a summary of our phone conversation and next plan of actions:

·         BTony was provided a briefing of our FM service meetings thus far.

·         Registration Cost:

o   BTony voiced concern that increasing the registration fee of $100 might have negative impact on the potential attendees. We voiced our initial concern that the $100 registration cost was prematurely advertised before validating/consulting with the FM coordinators.

o   After much discussion, it was decided to have an early-bird registration of $120 and after August 10th, the cost would increase to $140:

§  To assure any hidden costs incurred

§  To fund the youth service team during their preparation week (food, lodging and gas)

§  To cover decoration costs, stipends for priest, gas, water/drinks/snacks etc. for the conference

§  To include a T-shirt

§  To pay the venue cost for the youth service team (note that we are subsidizing 20 youth service team from a list provided by Christian). It was recommend no more than 20 youth service team for this Regional, not a National, conference, as this creeps cost.

 

·         Registration Process:

o   No registration website.

o   Registration will take place per state by the Area Conference Coordinators/designee (each ACC will be responsible for their own).  Banking information will be provided for ACC to deposit rather than sending payment to the Host Registration Committee Coordinators.

o   List of Area Conference Coordinators (from RI, NY, NJ, NC, FL, + ) will be sent to Host FM & Host Registration Committee for overall tally and coordination and direct communication.

o   No logo or theme yet (waiting after National Conference); however, start marketing the conference via social media (Facebook, etc).

§  Include dates (August 23rd to 25th) and venue http://www.summitlake.org/ (registration fee includes 6 meals and 2 nights lodging and activities offered at the venue (i.e. gym, fishing, campfire, etc) and T-shirt).

§  Example… “Register early to take advantage of early bird pricing. Space is limited to the first 190…” (refer to below)

§  After the Leaders Conference, we (in conjunction with Youth Service Team) will create a registration form to send to the ACC, including the waiver form.



·         Target # of Attendees:

o   Venue accommodates 220. Of that 220, 20 comprises Youth service team. BTony has offered potentially up to 5 couple Family Coordinators to assist VA-MD FM for the conference. Their cost is $77/person (at the actual venue’s cost). This reduces our space to #190, hence our landmark figure. Should we exceed, we will house elsewhere (Bro Gerry, since you were designated Marketing Committee Chair, please take note and start your search. Thank you). It is imperative to campaign NOW in order to get an approximate number of attendees.

 

§  Possible fund-raising idea: ‘Journal with contribution from Youth” for private donation…pending further discussion.
