Hi --

We are trying to create a sign out calendar for the staff of our middle/high school to be used for signing up for using our computer lab, etc.  Our concern with google calendar is that people can accidentally write over each other or erase each other.  We have created a calendar in google speadsheet, but the same issue applies.

Do you have any suggestions?  Free is best, but want to hear what others are doing!

Thanks!!

If you set it up as a managed resource you can set it so that this doesn't happen. We manage all of our room and cart sign out this way

Another way is to create a calendar for the room (tech lab), and adding Appointment times. Then post a link to the Appointment calendar. When someone selects a time slot they can add the event description if they need specific equipment, software, etc. They can invite others if they want other staff to be aware of the event. Once they save, the time slot disappears from the available times and the event is added to the personal work calendar of the person who selected the time slot and any invites are sent out to those invited. I was in the process of making a video tutorial for this. If I can find it I will post a link. I also am able to integrate Deb's method. The drawback is that you have to set time slots with this method.

Here's that tutorial video. https://www.youtube.com/watch?v=l1unBsuAZAI#t=272. Not my best but it has the information you need. Since I made the video, Google has added the feature of reserving a room as Deb Boisvert has mentioned. This would be a tab near where you would add permanent guests when setting up your appointment slots. When you set up your appointment slots the title, duration, date/time, rooms and other event settings will carry over from what you have set. The person selecting the appointment slot will be able to invite other guests, and alter the description. I ask teachers to write a brief sentence describing their intended use of the tech lab so I can prepare equipment or software as needed.

Good luck!
