Hi all, we covered a LOT at the meeting yesterday. Please see your names in BOLD for assigned tasks. If you cannot do the below tasks, please let someone on the board know, and we can reassign. Most of these items have a deadline of our next meeting on 5/14/2013 (if not sooner).

There will obviously be more tasks coming up as we get closer to the event. If you have the time to be involved in other aspects, please jump in!

Venue:

·         Deepa/Pooja/Alisha to visit Riata before the next meeting and have the following:

o   Video and photos of venue

o   Dimensions of room

o   Size of furniture and possible placement

o   Type of hookups in TV

o   Type of speakers/sound system

o   Type of AV equipment

o   Layout of where registration table will go (and possible photo area), AV/projector placement etc

o   Possibility of having a ‘photo booth’ type setup at the entry with props (tiara’s, chunnis, boas, picture frames, mustaches)

o   Pooja has volunteered to take photos for the event! (yay!)

Pricing:

·         We agreed to $10 online presale

·         $10 at the door for NetIP Members, $15 for non-members

·         Gagan will help to set up the pre-sales through eventbrite

 

Food: We'd like to get bids from a few other places; Bamboo Garden, Inchin. At this point, we think the bid from Naanful is reasonable, but we’d like to have a few more options

·         Sumina to get in touch with Prakash Mohandas’ wife who does some indian food catering

·         Mehul to be in touch with Inchin

·         Mehul to be in touch with Bamboo Garden

 

Timing of Event:

·         6:00- 7:00 – get access venue. Set up decorations/food/AV equipment. This timing will be TIGHT! We will need to be well organized and have about 10-15 people on hand to help with all related tasks.

·         7pm – Doors Open

·         7:30 – Trivia begins!

·         7:30-8:30 – Round One

·         8:30-8:45 – intermission – possible entertainment with the Flying Paneer Sisters doing a dance or two, or Om Shanti (the musical) doing something quick?? Sumina to be in touch with both parties

·         8:45-9:45 – Round Two

·         9:45 onward is social/music

 

Marketing:

·         Facebook promotion mostly with help from Krupa for paid advertising

·         Facebook, ALL of us needs to share, and ‘invite’ your desi friends who may not be friended with NetIP Austin once we get all the verbiage set up on the invite

·         Flyers – Sumina will work to get flyers made and all of us will divide up, and commit to putting up 5-10 flyers at desi grocery stores/coffee shops around the areas we live/work. This will be done within a week. Flyers to be handed out at the next meeting

·          Verbiage: Vinit is great with words. Gagan/Mehul will be helping with creating the message. This also needs to be done by next week’s meeting (5/14/2013). Points to include would be:

o   Indian Attire encouraged

o   BYOB – we cannot sell alcohol at the Riata, but we all agreed that people can/should be encouraged to bring their own alcoholic drinks.

o   Information that additional parking available across the street

o   Pricing

o   Timing of event

 

Other:

·         Prizes - We didn’t discuss any prizes for the winning team

·         Supplies – Pooja and Alisha have volunteered to do the Costco/Sam’s run before the event to get soft drinks, ice, cups, plates, spoons, etc

·         AV/Tech – Sumina to talk to Anil and Sambhav about availability of being at the event to make sure AV stuff is set up correctly.

·         Questions: Vinit & Alisha to do the final review of questions and rounds

 

 

Sponsorship

·         ALL – if you have business you think would be interested in sponsoring, please let me know, and I will be in touch with them.

·         Sumina and Vinit will be working to get sponsors. Levels discussed were:

o   $50 for FB mention/tag

o   $100 for FB mention and logo in print material

o   Possible idea of having sponsor logos on backdrop of photo booth area for additional promotion

o   In-kind sponsorship for door prizes (gift cards/prizes etc)

Regarding "BYOB – we cannot sell alcohol at the Riata, but we all agreed that people can/should be encouraged to bring their own alcoholic drinks.", I don't think alcohol is allowed at Riata Great Room. At least that's my understanding from what they told me.

Hi all, how is everyone doing on their tasks? Our next meeting is in 3 days (Tuesday eve), and I haven't seen many emails going around. Just wanted to check in. 

I also won't be able to make it to the next meeting as we have a NetIP Happy Hour downtown on Tuesday. Vinit, will you be able to make it? 

As far as my tasks: 
  • Flying Paneer Sisters are NOT available
  • Anil and Sambhav ARE both available and committed to helping us with AV equipment/setup. Which is great since both of them did it 3 years ago at Riata as well.

Hey all, 

We have 19 days before this event. We still don't have verbiage for our FB invite page. This task was loosely assigned to Mehul and Gagan at our last meeting. Can you guys confirm to let us know where you are at? Please also get with Vinit to get this locked in by TOMORROW (tuesday)? 

Gagan is working on setting up the eventbrite page for the pre-paid tickets, but that isn't going to be much help if we no verbiage to include. Mehul, Gagan, let us know if you guys need help etc.

Yes, that was great, but it was the basic save-the-date. 

We need to get the info updated per our last BT committee meeting with more specific info, like the points below. That way, we can put that on the FB event page, push it out, and then use the same info on the eventbrite.

Here's some verbiage for the events page. Gagan, let me know if you have any changes. Also, Deepa, can you check if the address is correct? 

I'd like to also chat with you guys on pricing to make sure that we are ok with the ticket levels. Right now, with our budget it's already $10 a person if 50 people show up just on food, and I know we paid for the Riata and still have to get drinks, decorations, etc.. 

People had suggested Wednesday to meet up...

The address for Riata leasing center is 12300 Riata Trace Pkwy  Austin, TX 78727.

The great room is inside the leasing center to the back of it (right by the big pool). So I am thinking we should give this address. Once the event starts the leasing center will be closed and so people will have to use the entry door by the pool to get inside the great room. But if we just tell them that and give this above address I think it should be fine. Riata said we cannot keep any signage anywhere. I wish that was possible for us to point people to the entry door for the great room. But if we tell them it is the door right in front of the big pool next to the leasing center and the gym they should be able to find it. Also we will have ticket sales tables there by the entry door as well.

There is parking for leasing center and also on the other side of Riata Trace Pkwy (opposite from the leasing center) inside the technology park (I mean where the companies are located).

My 2 cents on the MCQs. 

first cent: A few MCQs would be a nice change from the regular QnAs
second cent:  Don't do it for the easy questions.


I am currently in chicago and will be back this week; I will try to catch up with you guys next week. Things are looking awesome at this point. 

Do we have a flyer yet? Unless you guys want to create one, you can just use the legacy flyer from last  year.

At the moment there is only rain up north where I am. Not sure what's coming up.

I think we should meet up at 7 pm at Monkey Nest. Who ever gets there first, try to find a place inside.
 
If the weather gets really bad for anyone, i.e. unsafe for driving then just stop and wait it out, or turn back if possible, and email that you're not coming in.
 
I hope the weather doesn't turn for that much worse, and don't think it will.

1.  Questions need to be sent to Gagan by Friday May 24rd
He will compile it by our next meeting

2.  Food-Mehul will confirm with Binu Thomas
(Sumina, can you verify we are just going with this one caterer, and the total is $420 for 60 ppl)

3.  Marketing and Promotion-

With reference to our discussion regarding the flyer at today's meting, here is a sample from last year just to give a sense of the type of images we used.
 
Gagan/Sumina, I am TOTALLY fine with the current flyer that Gagan sent out, I think its great. This is just in case it gets additional creative juices flowing. I have the word document of this flyer in case Gagan wants to use that.
 
Sumina, What is the ETA on printouts of the flyers? It was nice seeing almost-everyone today.

Here's a scanned version of the Great Room furniture layout drawing that we discussed yesterday. We can make slight changes to this on the event. Especially with the 30 folding chairs we can move them into clusters so that the MC can walk between the groups like Mehul suggested yesterday.

How are we all tracking on the questions. The deadline is tomorrow I believe :)

I have my flip flop round on spreadsheet.
Pooja is doing East-west, classics, and 2 rounds from last year questions.
Mehul is doing rain dances and item songs
I have received Alisha's Contemporary and she is also taking care of rapid fire. 
I have received Deepa's dialogue round.

I leave Austin tomorrow afternoon and come back Tuesday morning.

Great job Gagan!! It looks awesome. :-) I like the colors.

I have a suggestion for my Dialogues round. After slide # 152 (Round 7: Movie Dialogues) we should add another slide saying something like "Category 1: See the video clip without the audio and guess the dialogue in the scene and who said it". Similarly after slide # 167 (last of the videos in this round) we should add another slide saying something like "Category 2: Listen to the famous move dialogue and guess which movie it is from and who said it."

This would make it clearer to the audience what they are supposed to do. I know MCs might say this but it would be good to put this in a slide as well so that the categories in this round and clear to the audience.
