Hi all, we covered a LOT at the meeting yesterday. Please see your names in BOLD for assigned tasks. If you cannot do the below tasks, please let someone on the board know, and we can reassign. Most of these items have a deadline of our next meeting on 5/14/2013 (if not sooner).
There will obviously be more tasks coming up as we get closer to the event. If you have the time to be involved in other aspects, please jump in!
Venue:
· Deepa/Pooja/Alisha to visit Riata before the next meeting and have the following:
o Video and photos of venue
o Dimensions of room
o Size of furniture and possible placement
o Type of hookups in TV
o Type of speakers/sound system
o Type of AV equipment
o Layout of where registration table will go (and possible photo area), AV/projector placement etc
o Possibility of having a ‘photo booth’ type setup at the entry with props (tiara’s, chunnis, boas, picture frames, mustaches)
o Pooja has volunteered to take photos for the event! (yay!)
Pricing:
· We agreed to $10 online presale
· $10 at the door for NetIP Members, $15 for non-members
· Gagan will help to set up the pre-sales through eventbrite
Food: We'd like to get bids from a few other places; Bamboo Garden, Inchin. At this point, we think the bid from Naanful is reasonable, but we’d like to have a few more options
· Sumina to get in touch with Prakash Mohandas’ wife who does some indian food catering
· Mehul to be in touch with Inchin
· Mehul to be in touch with Bamboo Garden
Timing of Event:
· 6:00- 7:00 – get access venue. Set up decorations/food/AV equipment. This timing will be TIGHT! We will need to be well organized and have about 10-15 people on hand to help with all related tasks.
· 7pm – Doors Open
· 7:30 – Trivia begins!
· 7:30-8:30 – Round One
· 8:30-8:45 – intermission – possible entertainment with the Flying Paneer Sisters doing a dance or two, or Om Shanti (the musical) doing something quick?? Sumina to be in touch with both parties
· 8:45-9:45 – Round Two
· 9:45 onward is social/music
Marketing:
· Facebook promotion mostly with help from Krupa for paid advertising
· Facebook, ALL of us needs to share, and ‘invite’ your desi friends who may not be friended with NetIP Austin once we get all the verbiage set up on the invite
· Flyers – Sumina will work to get flyers made and all of us will divide up, and commit to putting up 5-10 flyers at desi grocery stores/coffee shops around the areas we live/work. This will be done within a week. Flyers to be handed out at the next meeting
· Verbiage: Vinit is great with words. Gagan/Mehul will be helping with creating the message. This also needs to be done by next week’s meeting (5/14/2013). Points to include would be:
o Indian Attire encouraged
o BYOB – we cannot sell alcohol at the Riata, but we all agreed that people can/should be encouraged to bring their own alcoholic drinks.
o Information that additional parking available across the street
o Pricing
o Timing of event
Other:
· Prizes - We didn’t discuss any prizes for the winning team
· Supplies – Pooja and Alisha have volunteered to do the Costco/Sam’s run before the event to get soft drinks, ice, cups, plates, spoons, etc
· AV/Tech – Sumina to talk to Anil and Sambhav about availability of being at the event to make sure AV stuff is set up correctly.
· Questions: Vinit & Alisha to do the final review of questions and rounds
Sponsorship
· ALL – if you have business you think would be interested in sponsoring, please let me know, and I will be in touch with them.
· Sumina and Vinit will be working to get sponsors. Levels discussed were:
o $50 for FB mention/tag
o $100 for FB mention and logo in print material
o Possible idea of having sponsor logos on backdrop of photo booth area for additional promotion
o In-kind sponsorship for door prizes (gift cards/prizes etc)

Hey Sumina. I sent Robin verbiage last week. What is this one..just on the facebook page? I feel like since we don't have all the details locked the general one we sent out for the save the date will suffice for now..amd then we can update once details are locked..
