Venue - Chola Indian Restaurant

I called up Chola Indian Restaurant. I talked to Joseph (512-903-8854). He said that he can give us 3/4th of the restaurant to hold 75-100 people. There is NO rent for the place. If we make a mess they will charge us $50. They will provide us with food. We can either get it by trays or one plate per person (around $12 or so). We can bring alcohol if we want. The place is available on May 11 but is not available on May 18 or June 1. If we want to rent this place we need to move fast. But they don't have any audio/video equipment. But since there is not rent for the venue may be we can rent the A/V equipment.

Wow. That sounds great. I think May 11 would be great. Sumina, what do you think? I think trays would be a good option.  I was thinking maybe one of us may have a portable projector from work we can use so we can save money that way. I can't make it tomorrow but I've started entering for my categories on the spreadsheet. Keep me posted! Great job Deepa!

That does sound good. I know Vinit and I would prefer May 11th so it doesn't get pushed out too far. 

Vinit, do you want to weigh in with the final word? We can definitely work on getting AV stuff there since the other costs will be lower than we anticipated.

Hi All,

I apologize for the delayed response. I am currently on travel and writing in from the Pacific Northwest at the end of an uncharacteristically warm, sunny and clear day!

Anyway, regarding the venue for BT. My assumption is that we have only two runners in the race - Riata and Chola.

Regarding Chola,
Downsides:
- It is way up north
- the location is "non-cool"
upsides:
- sounds like a good venue to accommodate 75-100 people
- No rent!
- available before memorial-day weekend.
- if possible we could have the after-party in the restaurant itself.

AV equipment is not a big deal. I am sure there are several other sources.

Frankly, Chola is not ideal. I would prefer the Riata clubhouse over this. BUT, if cost and dates are better for Chola, then we should go for it.

Hey all, so our timeline for holding the event on May 11th is really getting tight, and I am worried about not having enough time to promote, get sponsors etc. We have less than 30 days if we were to secure the venue today. 

From last nights meeting, we are thinking that the layout at Chola may not be ideal, however, I will be going over there today and getting some video to share with you guys. Since there is no fee, I've given Deepa the go ahead to put a 'hold' on Chola for now. 

What do you guys feel about going ahead and putting down a deposit on Riata for May 25th? Just in case?

I wasn't able to get a hold of Joseph at Chola yesterday and so I wasn't able to confirm the "hold" with him. I will try calling him again a little later today. Once you are there at the restaurant just tell them to put it on "hold" if I am not able to do so by then. Also try to meet with Joseph while you are there. Or even call and ask around what time today he will be there at the restaurant and try to go there around that time.

May 25 (being the memorial day weekend) may not be a ideal date. Especially because for most of the companies in Austin, that is the first 3 day weekend of the year (for us at IBM it is). So I think it is very likely that a lot of people might travel that weekend.

I also think that May 11 is probably pushing it. May 18 is much better but so far we don't have any venues available for May 18. We should check with Teji's and Mexitas like we discussed during the Tuesday meeting.

What do we feel about pushing this out to June? Or is that too late?

Sumina,

I was able to get a hold of Joseph and I confirmed that we do have the restaurant on hold for May 11. I told him that you will be visiting the venue today and he said he should be there. Right now he is there at the venue and he said if you are going around 6:00 / 6:30 he should be there at that time as well. I would recommend you give him a call (Joseph (512-903-8854)) before you head there to make sure that you can meet him as well.
