Nelson Mediaeval
Minutes of Meeting held on Sunday 15th January 2012 with very grateful thanks to Eryl and her family for the use of their house.
Present: Mike, Kate, Markus, Christine, Eryl, Toby, Beth, Yvonne, Boyd & Alli

Mike opened the meeting with a welcome and with high hopes of a speedy meeting.
Boyd had yesterday sent out a Pdf with all the details about becoming incorporated group. It tells of the advantages and the rules of being incorporated. Boyd also gave us a short summary; one reason being that the income from the fair is taxable as we are at the moment and we can apply for tax exemption if we are incorporated. There are provisos and rules we have to comply with. All memebers are asked to read the document and reply to the google group with their comments, questions and thoughts on whether the group should become a legal entity. These responses are required by 27th of January 2012. On the google ADMIN mailing list please.
Awning: Kate is still looking into prices. She will look at both light and dark colour prices. Plain is preferred but we all liked the idea of optional decorative dagging which could be laced on when appropriate. Size 6 x 8. Hopefully to be available for use at the April camp? All present agreed it is a good use of funds.
Speaking of funds:
Markus reports that as of 14.12.11 we have $2987.63 in the bank with only a few small ins and outs to get an exact balance as of today. It was agreed to keep at least $1500 aside for the next fair.
Group Gatherings:
February 25th – Tavern Revels (venue to be confirmed but possibly the Free House yurt)
March 30th to April 1st – Weekend Camp (location to be confirmed)
April 29th – Group meeting at Eryl's house
June 17th – Group meeting at Erly's house
July 7th – Winter Feast (venue to be confirmed)
August / September – Fair preperations with frequent meetings
October 9th - 16th – Maitai Camp
October 14th – Maitai Fair open to the public
November 1st – Fair follow up
December – a well earned break
Markus will book the Maitai Camp tomorrow.
Free House:
The owners are keen to be involved with the fair and are happy to take back part used kegs and have spare beer engines. More discussion with them to follow.
Yvonne will make up a flyer / poster to take to Canterbury Fair to advertise our fair.
Boyd will contact the vendors with the date and also catch up with Stacy, Josh & Josh.
MARCHFEST:
24th March, we have been invited to run the have-a-go archery again. We agreed to do it and have a bigger Living History display with more people on a rota system to deal with the archery. Yvonne offered to help take the money and will issue a ticket once the $2 has been paid. Markus will look into doing a similar hit-the-apple separate prize at a higher entrance fee. Alli offered the help of her friend Seona (I'm sure she wont mind) as she helped at the Maitai fair and is an experienced archer. Boyd reminded us that those working on site have free entry to the festival. PLEASE ADD MARCH 24TH TO THE LIST OF DATES GIVEN ABOVE.
Mailing Lists:
There will be an admin google group list for the day to day running stuff and a general main one for communicating with new memebers etc. Please try to remember to use the admin for dull stuff that might put new memebers off.
Membership Fees:
Suggestions were read from previous minutes and after some discussion it was decided that the membership fee should have some benefits. For example, reduced fees for events such as the feast. Entry into member only events such as the tavern revels.
Fees agrees were as follows:
Adult $10
Under 16 (not as part of a family) $5
Family group (up to 2 adults and unlimited children under 16) $20
We didn't yet decide when these would be paid.
Pavillion Tent:
Kate & Mike are selling their big blue pavillion tent. They'd prefer if it stayed in Nelson group and are therefore willing to work a 50% deposit and pay off the balance in installments if one of our group wants to buy it. Price $2000. If nobody contacts them before they go to Canterbury Fair at the end of January they will take it and sell it there.
Richmond Library Display Cabinet:
Kate has aquired some space for a mediaeval dsiplay. It will have a display board and secure glass cabinet. If you'd like to contribute anything please let Kate know and include some written info with the object to sit beside it. She needs it pretty soon.
Different aspects of our group will continue to try to avoid clashing days when they meet.
eg. singing and dancing groups meet on different days.
It was decided to decline Pater Mays invite to join in his Spring Equinox event as we're fairly full on with our own activities.
Publicity:
Yvonne has asked for suggestions. Please send them to her on the admin list. Markus has a Photoshop type thing which may help.
Authenticity:
Was raised by Mike. He suggested we continue to increase our level of authenticity by encouraging all to have correct footwear and avoid using obviously modern fabrics.
Eryl requested help and Markus has achieved one shoe. If anyone can offer help please do so. Perhaps a workshop at our weekend camp?
Tavern Revels:
Someone was going to ask the pub how much to hire the yurt but I can't remember who. It would be a great excuse to go to the pub and therefore anyone who is looking for one can use this. I do remember that it was suggested we make little posies of flowers to wear around our necks to fend off the yurt aroma. Very mediaeval.
Mike closed the meeting and we enjoyed tea and nibbles.
Unfortunately Eryl was missing when some of us were leaving and we didn't get to say goodbye or thank you properly. So – Eryl, Toby & Beth, many thanks for your house and hospitality.
