Fantastic news! We've been greenlighted as one of the ten chapters
that gets first shot at the SPS Reporter Award. Here's the e-mail I
received from Kendra Rand at the National SPS office detailing what we
need to do:

Hello!

Earlier this year you indicated that your SPS chapter would like a
Chapter Reporter Award for the Sigma Pi Sigma Congress. Well, we've
had a great response from Sigma Pi Sigma donors and it looks likes we
are going to be able to fund 10 of these $500 awards!

You are among the 10 chapters that will receive this award, as long as
you email me the names of at least 4 people from your chapter that are
planning to attend the Congress. Those people need to register for the
Congress by October 1 in order to secure your award (
http://www.sigmapisigma.org/congress/2008/registration.htm ).
Otherwise, there is a waiting list of chapters that will be eligible
for your award. One all 4 of your people are registered we will send
you more details on the report.

The Congress is going to be a GREAT weekend--check out the website for

In summary, two things you need to do to secure your $500:
1. Email kr...@aip.org with 4 or more names
2. Convince those people to register by Oct. 1

If you are no longer interested in a Reporter Award, please let me
know right away so that we can offer this opportunity to another
chapter.

We currently have three people already registered: me, Steve
Burkland, and Narin Ratanavade. I know there was a couple of other
people that expressed their intent to attend. Let me know if you have
registered already. And if not, please do so, so I can e-mail at
least four names to Kendra very soon. I'd like to get the Reporter
Award locked away. That will make a great impact on our chapter's
finances.

If Dr. Acioli or any other faculty member is planning to attend and
has registered, that individual could also qualify as our fourth.
Let's get this done! Thanks for everyone's participation in this.
We're going to have a great time at the Congress and make a lot of
good contacts.

Hey, all. I'm still looking for that fourth SPS member to register
for the Sigma Pi Sigma Quadrennial Congress. We're getting down to
crunch time. If we don't get a fourth soon, we will loose the $500
Reporter Award from the National SPS office.

So, please....if you're planning on attending, register for it now.
Besides our SPS Reporter Award, it's also cheapest to register now.
Registration costs go up as we approach the Congress.

Send me a confirmation or post it here when you do register. We, of
course, can take more than four. And if you can't make it all three
days, you can talk with someone else in the same boat about splitting

Regarding the SPS Reporter Award we're set to receive for covering
this event, these are the expectations the National SPS has for us to
report:

Reporting Expectations

When planning meeting coverage and taking notes, please remember that
we are especially interested in:

1. A few sentences about yourself and your chapter and how it is
you got to the particular meeting,
2. Several paragraphs about the SPS research sessions,
3. An interview with one of the elected officers of the society
(for example, the president of the society),
4. Any other meeting highlights that you find interesting (keynote
speakers, demonstrations, breaking research, etc), and
5. Several photographs with appropriate captions.

Other topics to consider include the SPS welcome reception or other
receptions, banquets, exhibits, and chapter excursions to notable
local landmarks.

The writing can be done in a formal style, or a less formal style like
a chronological blog—feel free to experiment with the best way to
convey your experiences.

Of the four (or more) of us attending the Congress, I feel it's best
that we just divvy up certain talks or seminars that we are
individually interested in and take notes about each one. We can work
together to write up reports of a few of the individual events, then
combine it into a large report of the overall Congress.

Remember to take pictures galore. Bring cameras and voice recorders
(for quicker note-taking), if available.

For those of you attending the SigPipSig Congress, here's a schedule
of events:

Looks like Thursday's activities do not begin until the late evening
(registration/badge pick-up is from 3-8pm). Also, Thursday's
activities are at the Holiday Inn Select in Naperville, NOT AT
FERMILAB. The rest of the event (Fri & Sat) is at Fermilab.

Also, it looks like they decided to provide all meals for us without
any extra cost. This is different than what was originally posted.
So we don't have to make special plans to get together for dinner
anymore.

We attendees will caucus at the next SPS meeting to talk about a
couple of things: car-pooling & event coverage (for the Reporter's
Award).

Hello everyone!

As you all know, the Sigma Pi Sigma Quadrennial Congress is fast
approaching! So far 500 people have pre-registered, so the event
should be great! Some of you who are attending were, like me,
considering staying out there during the weekend of this event. With
that in mind, I have contacted the nearest motel to FermiLab. It
turns out they have a "Fermilab visitation rate", which makes it not
only the closest, but also the cheapest, place to stay in the area!
Single rooms are $39 per night, and double rooms are $44 per night -
very reasonable prices to be sure.

On Monday during the meeting we'll talk about what everyone wants to
do, and how we'll get out there. I'm willing to room with someone,
and I'm also willing to take care of the reservations as long as
everyone swears to be reasonable about paying me back!;) They assure
me that they will not fill up. Even when I told the guy how many were
attending this event, he still assured me they won't fill up.
However, I think I'll make reservations anyway just to be on the safe
side. By the way, the motel is 4 miles from Fermi, here's the info

I heard a rumor that one or two others are considering joining us.
The more the merrier, just keep in mind that the date is fast
approaching, and the tickets are $110 a piece (not including the motel
cost which is paid separately). So be quick about deciding.

One other important note *MEALS ARE PAID FOR*. Thursday evening there
is a dessert event, and all three meals Friday/Saturday are covered by
the $110. That should be everything... see you all Monday!
