The Scheduling Director for Mayor-Elect Muriel Bowser’s Transition team will be responsible for the Mayor-Elect’s schedule. The Director will often act as a liaison between the Mayor-Elect and staff, public and other members of her Senior Transition Team.
ESSENTIAL JOB FUNCTIONS:
Coordinates the scheduling of varying types of events, including but not limited to – internal/external meetings, media events/press conferences, community events and galas, and official duties
Ensures that the Mayor-Elect and her Senior Transition Team are informed immediately of any and all changes to the schedule
Reviews the Mayor-Elect's invitations and finalizes a packet before they are presented to the Senior Transition Team during scheduling meeting
Places all approved scheduling items onto the Mayor-Elect’s schedule, ensuring all details are accounted for and that she is provided with clear and accurate briefing materials for each event by coordinating with event participants and identifying appropriate staffing
Oversees the preparation and delivery of the Mayor-Elect’s daily briefing binder
Works with Transition Office’s scheduling team to respond to all invitations, either by written correspondence or personal telephone call
Works with the Transition Office’s scheduling team to maintain a file of all invitations whether they have been declined, accepted, or are pending
Oversees the assignment of events to designated staff members on all levels as advised by the Mayor-Elect or her Senior Transition Staff
Informs the Mayor-Elect’s Transition and Council offices of scheduling procedural changes as directed by the Mayor-Elect, Chief of Staff, and/or Transition Director
Performs other duties as assigned
SKILLS, ABILITIES AND KNOWLEDGE REQUIRED:
Thorough knowledge of District Government office administration, policies, practices, and procedures Temperament to communicate with a variety of personalities in a tactful, pleasant, and professional manner Strong telephone, oral and written communication skills Ability to exercise discretion and judgment with respect to prioritization of and recommendations on all appointments Proficiency in word processing Strong attention to detail Ability to perform essential job functions above Ability to work cooperatively and courteously with others Works well under pressure and handles stress Works a flexible schedule
EDUCATION/EXPERIENCE:
Bachelor’s Degree preferred or alternatively three to five years of related work experience. Past scheduling experience highly preferred.
