Hey guys,  I'm trying to use it for both my personal life projects and tasks and for work. However, I have a small problem and I'm wondering if I need to change my set up. I created two folders in MLO, one title 'Personal' and the other 'Work'. I have one tab in MLO for my personal and one for work so that I can focus on one or the other.  Once I'm working, I move to the Work tab.

The only problem with this setup is that tasks that are entered in the Inbox through the mobile app or by Rapid Task Entry get filtered out in my views because the Inbox doesn't exist in either. So, when I go to my Today view for work, for example, any tasks that I add to the inbox throughout the day and are dated for today won't show.

Is there another way to do this? I change over to work because my work and personal life don't mix at all like other people's may. Anyone else use MLO for both personal and work and if so, what kind of setup do you use to avoid this problem?

Thanks.

Joel

Joel,

I have almost the exact same set up. Here's how I solved that problem. I added an additional top level Outline item called "Inbox". When I enter in new tasks from the Rapid task entry or my phone, they go into the inbox. I'm make sure I process this regularly and it serves the purpose of a physical inbox. I do a couple of things to ensure I don't miss anything. I set the goal to weekly on this so contents are visible in my other views.  My working views for both PERSONAL and WORK show contents grouped by top level parent so I can see if the task is still in Inbox and not processed.

It works really well. Here's a screenshot of my high level outline.

I use two separate files. My work file is never sync'd - for privacy
reasons. It stays at work on a work computer.

At work I have two copies of MLO open, one with work the other with
home. If something needs dropping into an Inbox, I put it in the right
one. If more than one copy of MLO is running, Rapid Task Entry will
prompt for the one you want. I don't use RTE, I have a permanent tab for
Inbox in each file. I flip to that and hit insert.

At home, I use the home file only, sync'd to The Cloud and my phone.

I also "abuse" MLO with diary entries, and sometimes a work entry will
have a significant impact on home, or vice versa. In those cases I copy
and paste between the two. I have to remember to update both entries if
one changes, but I tend to keep notes in one entry only and it's just
changes to dates/times that have to propagate. I've never found that
downside too awkward, and have not (yet) been bitten by it.

On Android, the top line of the New Task widget says

New Task In: <Inbox>▼

By tapping the downarrow you can select other destinations, like Work or Personal

On RTE on Windows, if you are having yor input parsed, you can use the To Folder (tofld) command, like

Buy Milk -tofld Personal

Hello Joel,

So, my outline structure is:

Area of Life (not folders)
>Role (folders)
>>Project
>>>Task

Where "Area of Life" is Personal, Home, Work or Community.
I make the "Area of Life" not a folder; instead the "Roles" are my top level folders. That way, in my Advanced Filters, I can use TopLevelParentName to filter by Area of Life (in your case "Personal" and "Work") and TopLevelFolderName to filter by Role.

In that structure, to show both the Personal folder and the Inbox, both with all their child items, I'd set up an advanced filter, with Show Hierarchy set to "yes" and the Config button next to it set to "Include child items". The advanced filter rules would be:
TopLevelParentName contains 'Personal' OR
Caption contains  'Inbox'

Does that work for you?

Stéphane
