This is humble request to help us by providing Offer/Appointment Letter (on/off) campus recruitment.

Note: The demand is not to show false/mislead data to NAAC by saying campus recruitment. It is only for NAAC reference in case they will ask about alumni status and strength after graduation. This will help us to obtain higher grade (credit) to the university standards.

Dear Dharmesh,

Hope you are fine. It is nice to see that someone in the alumni batches to take a lead to raise some doubts for the demanded subject in the e-mail.

Also glad to see you have spare sometime to type this profession kind of e-mail which I am more expecting from my students.

(Please rectify word NCCA. It’s a NAAC (National Assessment and Accreditation Council). You can visit http://www.naac.gov.in/ for enhancing and enrich your knowledge about importance of NAAC for any state private or deemed university.

Here are your answers for the raise questions.

1. How is the university or programme planning to use this data? Is the goal to publish on the website or any public forums? If so, are you planning to seek prior consent from the relevant party?

NAAC is for university accreditation purpose and not for specific programme (for specific programme it’s a NBA team). we only required this data in case NAAC will ask about alumni current status. So there is no goal to publish/store any data. (University has already given last five year data to NAAC and after the correct data only they will decided to visit the university)

2. Who will access to this database at UTU level? Just you?

It is only kept with me as right now I am working as T&P coordinator (There will be lesser chance that NAAC will asked about this data but we are not going to take any risk as we need to get higher grade as possible in acrediation)

a. How is the university planning to present this data from UTU's perspective as we all graduated through GTU and also all of us got a job only after completing Masters?

NAAC already know that you are not placed on-campus and the same was submitted by university. It is only if NAAC asked about the relation with alumni to tell them about pass out student’s current status.

b. Do we get to see the above data before it is presented to NCCA or any other third party?

NAAC SSR report will be available after acrediation  . So you can get this answer very soon. Don’t worries as we are not going to create any ambiguity with you.

3. How will this information be passed on to NCCA? Through email? Print out?

No Hard Copy or Soft Copy to be passed to anyone. University has already submitted the data 5 months ago and after verification of that scan data only, they will decide to visit the campus for accreditation.

4. Once the information is passed on to NCCA, what is university planning to do with this data?

As university is not passing your data and it is only kept with me. I think there is no raise of this question now onward.

a.       Is the university planning to store this data?

No, we are not going to print or store your data anywhere.

b. If answered yes to above, kindly share the data handling and retention policy of the university.

Not required to answer this question (asking this question looks like you are software engineer at abroad)

c. Where will the data be stored? Local computer or on cloud servers?

Not Required (As already mentioned above)

i. If planning to be stored on a local computer, who's computer it will be?

Neither local server nor cloud we are going to use, As we don’t want to store your data anywhere.

ii. If planning to be stored on the cloud, what is the location of the server? Within India or outside India?

Not Required (As already mentioned above)

5. At any point will this information be printed on a paper?

As we are not going to print this data no need to say about the functionality of university printers. Also you need not to concern about on-site shredder/off-site shredder (license number).

a. If yes, do the university printers have print and hold functionality to avoid unsolicited access by unauthorized personnel

b. Does the university have an on-site shredder or does it go to an off-site shredder

i. If it goes to an off-site shredder, kindly share their details along with license number

In case you are not satisfy with the above answers kindly contact me. If you are still feel insecurity, than it is advisable to not provide data to us to maintain code of conduct of your organization.

(Happy to answer your questions as before joining this profession I was also dealing these kinds of questions to my Canada based client)

@Fenil Patel: We are professors and not any marketing agent. We know the maintenance of data and their secrecy. So don’t be panic as we are not going to sell any data to third party.
