The venue for our Grand party was declared to have been frozen at Kylin Sky Bar at Ambience Mall , Vasant Kunj, New Delhi. Jain informed that the rate fixed is RS 2500. The additional cost on account of tips, wine , photographer etc is expected to be Rs 350 per head. Asmita and Jain are to coordinate the handing over of advance cheque to Kylin.

Jain suggested that donor cards be printed. These cards can be used for entry at the venue. The sale of these cards before hand would ensure to get a fair estimation of persons willing to attend.  Vivek introduced the four preliminary designs for donor cards. These designs were appreciated. However, final decision on the cards , cash collection , coordination with Kylin and way forward is yet to be taken.

Asmita suggested that teachers should be invited. Pankaj seconded that .Udayan took down the list of teachers whom are to be invited. It was decided to invite them with their spouse and ofcourse no charge is to be taken from them.

Detailed discussion took place about the Year book. Selina , Aparna and Juhi apprised of the action taken , survey monkey uploaded and stressed that meeting the deadline for content collection is of prime importance. Selina informed that content collection means --

The information about self to be uploaded

Photos of self and family

Old photos of self , school and other events to be provided.

Udayan suggested that for content collection a separate team is formed. Vivek to head that team and help in coordination ( with a smile ) with the YB . One person to be responsible for each section. He / she can make a team of 3 more people. The suggested names section wise are --

Section A     Nikhil Nath , Mamata,  ( not confirmed )

Section B     Deepika , Gauri ( not confirmed )

Section C      Rohit Jain ( confirmed )

Section  D     Asmita ( confirmed ) , with help from Ud

Juhi informed that Ananya Vajpayee has offered to write for the Year book. The matter would be related to school , batchmates and growing up in the 80 s etc. Udayan suggested that there may be more people who would be willing to write. After discussion it was decided that the editorial board would assess each request and the content would edited and vetted against the YB requirement.  Udayan also informed that the expected cost of each additional page comes to Rs 1200 to RS 1500.

The cost of the Year book is estimated as follows. This has been confirmed by YB team 

Printing cost of 152 page book ( 200 copies ) @ RS 550 by Gosai      110,000

Design cost @ 250                                                                           38000

Misc                                                                                                 2000

Total Rs                                                                                         150,000

It was also decided that a emailer to be sent to all email id that we have , This email will be about date and venue of the party and the content collection of YB. The batchmates will be requested to forward to others they are in touch with. This will help us grow our reach. Udayan has been asked to send these emailers. Preferably by Sunday Aug 25.

Some feedback was received by the YB team regarding the timeline for content collection , survey monkey form , design costs, handwritten matter etc The YB team has assured that all feedback would be accounted for and best care would be taken to bring out a wonderful book.

The budget and cash flows were discussed and the following expense heads were identified-

1. Extra budget at Kylin   Rs 50,000

2. Teachers at Kylin  Rs 50,000

3. Year book -- hard copy  RS 150,000

4. Misc Rs 25,00

The total being Rs 275000. The Section D boys headed by Pankaj Sahni has assured Rs 150,000 would be collected. He handed over Rs 100,000 to the OC. Balance Rs 50k would be arranged immediately by him.

The OC has allocated the fund for YB and handed over the amount to Ud for coordination with Publisher , Ashish Gosia and Juhi ( design costs ).

A big applause and thanks to Pankaj and friends for the commitment and quick action in collection of funds.

The meeting was closed with a group snap and wonderful applause.

Hope that all issues were covered in these MoM. If something left out , the members present may help to add. Absentees just clap for the wonderful meeting we had.

and Thanks Bharat for the wonderful idea on donor cards. Just be sure of logistics before you and Jain decide on the card.

Once more thanks to Bharat for thanking me for MoM , but just wondering whether to take the secretariat skills as a complement ... haha 

take care and have a meeting free hassle free weekend. Sort out all issues and get ready for content collection for the coming weeks. Beware Vivek is all set with targets for all.....

On the YB - we must proceed with content collection through Vivek and his team. A sample of a filled in page will be put up soon, as was suggested, and thereafter we must stick to content collection deadlines. Filled in surveys, photographs, old and new, these are priority. By early next week, we should be able to kick start on these fronts and be in regular touch with content collectors. 

Also, a huge thank you once again to Pankaj and friends for funds collection and to everyone for their ideas and suggestions. :)
