Admin and Finance Officer
Duration: 1 year with possible renewal of contract
Location: Metro Manila, Philippines

Job Description: Administrative Officer
Reports to: The Program Director
Position Objective:
The Administrative and Finance Officer ensures to maintain conducive working environment and through its Finance role, safeguards and monitors the resources of the organization with utmost standards.
Duties & Responsibilities:
The Administrative and Finance Officer must have an eye for details with strong interpersonal and communication skills. The employee will be tasked with and responsible for the following duties, but not limited to:
Primary Role: Administrative and Finance
A. Record and Bookkeeping Functions
1. Checks accuracy of statements of account and prepares check vouchers
2. Ensures prompt payments of accounts with suppliers & other clients.
3. Handles the petty cash fund and staff reimbursements.
4. In coordination with the Program Officer for Membership Services, will assist in following-up on outstanding accounts.
5. Assists in monitoring the budget allocation for committee meetings, miscellaneous expenses, office supplies, repairs, and travel (i.e. for messenger)
6. Prepares weekly cash position report.
7. Records official receipts (Ors) and cash vouchers (CVs) in the Cash Receipts Book (CRB) and Cash Disbursements Book (CDB) in the general ledger.
8. Prepares journal vouchers every end of the month and records entries in the general ledger.
9. Prepares monthly financial reports, supplementary schedules and bank reconciliation statements for every bank account for review and approval of the Project Director.
B. Office Maintenance and Upkeep
1. Maintains an organized and effective filing system of:
• records of Board meetings, Committee meetings, activities and events
• Personnel records of Secretariat (e.g. 201 files & leaves)
• Key financial / accounting records (e.g. important tax documents, licenses, audit reports etc.)
• Membership files
• FuND Library
2. Facilitates completion of signatures for the MOA and other documents.
3. Handles procurement of office supplies, equipment and other office requirements
4. Ensures that monthly remittances of salaries and benefits (SSS, Pag-Ibig, Phil Health, consultancy fees, rent, telephone, electricity, insurance premiums, etc) are on time and updated
5. Ensures all permits and licenses of FuND are renewed and updated regularly.
6. Ensures upkeep of office services and premises at all times
C. Secretariat Support
1. Handles general inquiries concerning Secretariat matters.
2. Monitors in-coming and out-going communication of FuND
3. Compiles and collates news related to fund raising (e.g. International Source on Philanthropy, Fundraising and Social development initiatives for the weekly E-newsletter)
4. Assists in the organization of events and activities such as General Assembly (GA), Learning Sessions and FriendSips.
5. Facilitates arrangements for travel and meetings
Secondary Role: Assistance & Support
A. Assistance & Support for the Project Director
1. Provides secretarial support to the Project Director.
2. Assists the Project Director in coordinating Secretariat activities
B. Assistance & Support for the Board
Provides the following assistance and support during Board of Directors and Committee (as necessary) meetings:
1. Prepares draft agenda in consultation with Project Director.
2. Sends out Notices of Meeting to Board of Directors and Committees & follow-up attendance to these meetings
3. Prepares documents for Board and Committee meetings.
4. Prepares venue and logistics for meetings
C. Messenger Functions
D. Performs other duties as required for the efficient and effective operation of the Secretariat.
Qualifications:
• Must be a degree holder, with at least 2 years experience in bookkeeping
• Excellent communication and organisation skills
• Excellent written and spoken English
• Excellent computer skills in MS Office
