MINUTES OF EXMAYS NETWORKING SESSION

Good morning my dearest Actualizers,

 

Pls find attached the minutes of the exclusive networking session held on Sunday December 4, 2016.

 

Also attached is a copy of the presentation made to all Exmays at the session.

 

The highlights of the session are as follows:

 

1.      In all, 26 Exmays attended the session, comprising 21 by physical presence and 5 by virtual presence

2.      The session started at 2:30pm and ended at 4:50pm.

3.      A power point presentation was made to Exmays at the session, anchored by the President of MOSA, the Financial Secretary of MOSA and the Chairman of the Building Committee.

4.      The total construction cost of the new TS Hall has been scaled down to about N50million from the initial cost of N60million. This was achieved from an amendment to the complexity of the structure for ease of maintenance.

5.      A total of N18.992million has so far been realized, comprising N17.5million from the various Exmay class sets and N1.45million from the friends of Mayflower School.

6.      Of this amount, N2.82million was used to renovate the Schmid Hall preparatory to the 60^th anniversary, leaving an amount of N16.16million for the construction of the new hall.

7.      MOSA has so far released N16million to the building committee who have spent N15.17million to bring the project to lintel stage.

8.      The cost to completion schedule submitted by the QS (an Exmay) shows that an amount of N29.8million is still needed to bring the project to completion.

9.      The chairman of the building committee confirmed that if this amount is provided timely, the hall will be ready to host Exmays in January 2017.

10.   Exmays physically present made commitments and instant transfers of N15.3million plus another N3.15million comprising material commitments and promises to update class set contributions.

11.   We were unable to take the contributions from the virtual attendees due to network issues.

12.   It was resolved that subsequent to sending the minutes of the session, the President should engage all the on-line attendees and other invitees that were not in the meeting, as they have indicated their interest to support the project.

I am pleased to report that work is progressing well on the hall project. Scaffoldings to aid the casting of the beams and columns  tie-in to support the roof structure is ongoing.

In order to stay on schedule of holding the January AGM in the hall, please approved the immediate transfer of initial N4million into my UBA  account for us to mobilize the successful bidder. Quotations for the steel works range from about N7m to almost N11m. The committee will be normalising and evaluating the bid next Tuesday and thereafter mobilize the successful bidder.
