Thank you for attempting to write the minute of the meeting. As students of school called life, let us continue to learn and grow. By keeping the following suggestions in mind, we can make reading the minute a positive experience and a motivator for us to attend our club meeting(s)
1. Let the minute follow the natural progression of the meeting
2. Highlight important points that happened or were made at the meeting. Skip irrelevant points.
3. Make specific instead of vague comments.
4. Get grammar and name spellings right, e.g. Aaron and not Aron.
5. NEVER hurt anyone by being insensitive and/ or writing something that we did not fully understand and misinterpreted it in the minute.
Case in point: You mentioned that it was challenging for Anupama to evaluate Gary's speech. What was actually meant was that despite this particular evaluation being a challenging task, Anupama rose to the occasion and took it on (as it was not a regular speech but an interpretive reading.)
Then you wrote that ‘She did not have much to say...’ In reality, she made many suggestions and I think she went overtime. She gave positive feedback on how to keep the audience engaged but your writing ‘…instead of losing them’ gave a negative connotation to both the speech and the evaluation .
At the meeting, General Evaluator – Mahesh complimented
and appreciated Anupama's evaluation.
Gary told her that she gave him useful feedback After the meeting, many attendees complimented her on giving a great evaluation and constructive feedback for this speech. She was
proud of this evaluation because it had been a little hard to do but she came through with
good points on how to do it better. So your comments on her evaluation were a little hurtful.
Next time if we are not clear or sure, then let us ask,
clarify and verify the information before writing the minute. Also, we can have our minute proofread by
another member before sending it to the club.
We can also delegate writing the minute to a volunteer.
