We're sorry to report that we have not been able to schedule a meeting for February so we have cancelled February 4, 2026.

We are happy to report, however, that our March 4, 2026 meeting from 8:30 a.m. to 9:30 a.m. is confirmed and will be held via MS Teams.

Ellen Jaquette and Taya Moxley-Goldsmith from the Data Practices Office will be joining us to provide an overview of the office’s functions and services, review recent advisory opinions, and provide a legislative update.

Look for meeting information coming out in a couple of weeks.

If you have a topic or something you need information on and think others would be interested, please let us know.

If you'd like to present on a project you've recently completed that would benefit others please contact us so that we can get you in our schedule.

We need your help in planning our meetings.

See you in March,

MN-GRIN Committee Members
DeAnna, Charles, and John

Good afternoon – I’ve got a couple questions I’m hoping this group can help with.  Our records retention schedule states:

Meeting Minutes: Minutes recording actions taken in meetings necessary for the management of the department and its activities. (Originating department only.) Does not include County Board minutes.

The State Archives wishes to have transferred minutes of county committees and governing boards MS 13.03 Publ 6 yrs., then transfer to the State Archives for selection and disposition.

  • How long does your entity retain department meeting minutes for?
  • Do you transfer them to the State Archives?
  • Who is the current contact at the State Archives if you want to transfer records there?
    • I used to contact Charlie Rodgers but he doesn’t appear on their website any longer.

Any assistance is appreciated,

Hi Rochelle,

I'm the current contact at the State Archives! I'd be happy to talk about transferring records when you decide to sent them over. You can contact me at statea...@mnhs.org or my direct email jemma...@mnhs.org.

Best,

Jemma Kloss

Hi Rochelle,

  • How long does your entity retain department meeting minutes for? At Chisago County we also retain them for 6 yrs, then transfer to the State Archives for selection and disposition.
  • Do you transfer them to the State Archives? Yes. I transferred a few boxes of minutes to the State Archives in the last few years. Charlie came to Chisago County and picked them up from me.
  • Who is the current contact at the State Archives if you want to transfer records there?  Current contact is Jemma Kloss who I see already responded to your message.
    • I used to contact Charlie Rodgers but he doesn’t appear on their website any longer. Charlie Rodgers retired last year.

Any other questions, please let me know.
