Thankyou VickyB for the tip to disable "Secure participant files" so that photos in a file upload question can be shared with non-Qualtrics users via email triggers. This is exactly the solution I was looking for!

Also interested in having this option. Please go upvote this suggestion as this I think maybe the most streamlined way and could provide looping/bulk download.

I am stuck on stupid here....isn't there a way to share a public report with that includes respondent file uploads that allowing the report user the ability to download the images?

For example, I have a study that respondents need to upload an image, and the internal client (non-Qualtrics user) needs the ability to download the images. This is an ongoing study so a one-time download of the files is not ideal.

karahansobrien - Yes, there is. You need to create embedded data in your survey flow and pipe the uploaded file URL in it. Now you can use this field in your reports.

It looks like your survey is already running, and this solution will work only for responses moving forward. For past responses, you will have to do a little bit of API to get the uploaded file URL in this new embedded data.




Qualtrics allows you to take advantage of integrating with other Tufts systems, such as easily uploading multiple files directly to Box and putting a Tufts login screen in your survey to capture user information and ensure that only users with a Tufts account can see certain survey questions.


Preview/Test Note: The Tufts login screen does not always appear if you click the Preview button in Qualtrics (since you're logged in to edit the survey, Qualtrics does not always ask you to re-log in to take the survey preview). The best way to test adding a Tufts login to your survey is to copy the link of the preview (or the anonymous link of the published survey) and open the link in a new, private browser window.


If you have a Tufts login screen in your survey that you added via an SSO authenticator in Survey Flow, you can configure the authenticator to capture a variety of Tufts identifying information. These questions will not be shown to the respondent, but you'll have the information when you look at the survey response in the Data & Analysis section.


For example, you may have a Qualtrics survey for students that has a file upload question: "Upload your graduation photos" and as students take your survey, you want these photos to be sent directly to a Box folder called "Pictures of Graduation". You can configure a file upload question in your Qualtrics survey such that the uploaded file is automatically sent to and stored in the Box folder.


Important: Both the options shown in this example survey will upload the files immediately - not waiting to only upload after the survey is submitted. If you want the user to have the option to upload files only after the survey is submitted, instead place the file upload in the End of Survey message. You can still use either option - the only difference is where you put either the link or the embed code. Steps to edit the end of survey message are available here.


Hi all,

Although I have submitted a ticket, I still wanna seek the help from the expertssssss in this community...

Currently our company account has 2 types of users. The tier-1 is "brand admin" and responsible for all survey filedwork and resticted data handling. The tier-2 is only responsible for handling tickets and DO NOT has any authorities in editing surveys.

Now we have a form for customers to submit thier personal inormation and upload supporting documents (e.g. address proof). Tickets will be auto generated form tier-2 users to handle. Although the link for this supporting doc can be displayed in the tickets, they cannot view it as they do not have the permission.

I tried changing the collaboration and user types, but they all failed.

Is there any setting we can do in user types or collaboration so that tier-2 users can maintain their limited permission but view those uploaded files?

That make us headache...thanks!!!!

P.S. We do not prefer the link can be accessed by "anyone" publicly.




Hello and good afternoon from a rainy Sweden!

We're using a survey where a user can upload a file and submit the survey.

Does anybody know where these files are stored after the user submits the survey? I can see that it seems to be in the Filed section of the Library, but I can't find the uploaded files there.

Hello MattiasM

These files are store on secured Qualtrics server. You can view each respondents file within Data Analysis tab and also learn more about it from this support page.

Also, to correct you NO the uploaded files do not get stored in Files library. Hence, you would not find it there.

To explore more you can view each of the uploaded files on Dashboard, and also pre-built Results tab.

NOTE: if you delete any response the uploaded files gets deleted.

Previously, respondents only had the option to select an available answer or fill in an open text field. With this new file upload feature, respondents can now insert files such as: spreadsheets, photos, PDF, and custom extensions into your answers. (Example show below)


Now there are limits to the file sizes that can be uploaded. The files cannot exceed 16 MB during the uploading process. If you need to submit files that are large and exceed the available limit, you will need to compress the files into a ZIP file prior to uploading the documents. Another great feature is that you have the ability to regulate the file types that are being uploaded. An example of this would be if you wanted a photo in the survey answer, you have the ability to block other file types, like a spreadsheet, from being submitted.

Hi! We want to upload audio files larger than 16MB to our survey on qualtrics, for my understanding we can do so by HTML/URL. My question is if there is any options to use the platform of qualtrics for this, and not an external platform. Thank you!

I have workaround for you. As in qualtrics it wont allow you to import a file greater than 16mb so you can create a dummy survey with file upload questions(it allows file size upto 100mb) and record that response. And from the capture data retrieve the file URL and use it in your survey.




PraDeepKotian_Ugam , the format in which the files of upload file question are stored are different then the files in files library. Hence, ShaniZ , if you only want to store it then you can go by PraDeepKotian_Ugam's method but I doubt that you won't be able to play audios using those uploaded question URL in the survey.

Researchers, students and staff who collect personal data are obliged to protect the privacy of the survey respondents by thinking carefully about the survey design. Compliance to the GDPR is mandatory.


Maastricht University has concluded a data processing agreement with Qualtrics about processing low-, middle- and high-risk class personal data .

It is possible to process special categories (high-risk) of personal data. Contact your supervisor (students) or information manager (staff) to perform a risk analysis and possibly a Data Protection Impact Assessment (DPIA) before the start of your project. Also check out the measures you can take to process the data with minimal risk.


Pseudonymisation is not the same as anonymisation. In contrast with anonymised data, pseudonymised data can still be linked to the identifiable data. So re-identification remains possible. Pseudonymised data are categorised as personal data and compliance with the GDPR is required.
