I am running Windows 2000 with Word 2000. In my word
document I am having problems with inserting a cross
reference to a section. My heading numbers are not auto-
generated.

should be this:
follow the instructions in Section 6.3.1 for inserting

but get this:
follow the instructions in Section 0 for inserting

Any suggestions on how I can fix this?

Thank you in advance for any assistance.

In the Cross-Reference menu, change the Reference Type
from "Numbered Item" to "Heading" and the "Insert
Reference To" to "Heading Text". This will work provided

1. The paragraph formatting of the target is a Heading (1-
9) and
2. The text in that heading is the same text that you want
to appear in the cross reference (and nothing else), that
is, it is not a run-on paragraph.

Good luck.

Hi Collin,
Thanks, this works but all we really want in the cross
reference is the heading number as I showed in my sample:

follow the instructions in Section 6.3.1 for formatting

We do have the document set up with heading (1-4) so is
not possible to have this work without using auto-
numbering?

Again, thanks for the assistance.

Hi!
If you want to reference only the number of a heading,
there are two possible ways:

1. Number headings using either auto numbering or ListNum
fields. Then you can insert cross-references from
the "Heading" or "Numbered item" category in the Cross-
reference dialog box.

-- or --

2. Bookmark the number in the heading and then insert a
cross-reference from the "Bookmark" category in the Cross-
reference dialog box.

Note that in case (1), you need to specify that the cross-reference is to
"Paragraph number."

Stefan and Suzanne,

Thanks for the help, so what I am concluding from your
reply is this:
In order to use cross reference with headings they must be
either a type of auto numbering or bookmarked because Word
doesn't read the typed in numbers in the headings.

Seems simple enough to me to fix if I go to the first
heading and set my numbering for the document.

Thanks again,

Ynez,

You can make this work. If, for example, your heading
reads

6.3.1 Formatting

and you want the cross reference to pick up only the
number without using autonumbering, you need to stick a
hidden return between the "6.3.1" and the "Fomatting".
You do that by hitting a return, styling the non-number
text as something other than a Heading style,
highlighting the paragraph symbol between 6.3.1 and
Formatting and then clicking Format|Font|Hidden. This
will "hide" the return when printed (or if
the "Show/Hide" button is off), but Word will still read
the hidden paragraph when deterimining what to include in
the cross reference to "Heading Text" so that
only "6.3.1" will be in the heading text and that is what
will appear in the cross reference.

Mind you, this is a way to make it work if you really,
really want typed paragraph numbers rather than auto-
numbers. I think you are better off following the other
course and auto-numbering, but it is up to you.

All the best.
