37. HOW TO SYNCHRONIZE WITH OUTLOOK NOTES. (Updated on 9-24-99)
Microsoft's Outlook Notes is the electronic equivalent of paper sticky
notes. You can use Notes to jot down questions, ideas, reminders, or
anything you would write on notepaper.

On your PC to create an Outlook Note, point to New on the File menu, and
then click Note. Then, type the text of the note. Click the Note icon in the
upper-left corner of the Note window to see other options you can use with
Notes. You can leave Notes open on screen while you work. When you change a
Note, the changes are saved automatically. It is free and part of all
versions of Microsoft Outlook. You can read more on it at
http://www.microsoft.com/office/outlook/default.asp

I use Phatware's H/PC Notes 3.01 from
http://www.phatware.com/hpcnotes/hpcnotes2.html to synch my HP 680 Jornada
with Outlook 2000 Notes on my PC. It works flawlessly and they have a 30-day
trial program.

You can create your notes and provide them with type, subject, creation and
modification date, which helps to find required information quickly and
easily. With HPC Notes you can search for specific text in a specific field
and sort notes by type, date or subject. You can protect notes from
unauthorized access with a password and send e-mail messages directly from
the Note Editor. Interface to the Contacts Database enables you to pick an
e-mail address instead of typing it in. H/PC Notes uses a compressed
database, saving limited storage space. H/PC Notes 3.0 also includes a
module that runs on your Desktop PC and synchronizes the notes database with
the Handheld PC.

Benefits and features

· Organize your notes - by clicking on the column header buttons you can
sort notes by creation date, modification date, subject and type.
· Portability - HPC Notes now runs on your Desktop PC powered by Microsoft
Windows 95, Windows 98, Windows NT 4.0, or Windows 2000 Beta 3 or later.
Handheld PCs powered by Microsoft Windows CE 2.0 or later, or Palm-Size PCs
powered by Windows CE 2.01 or later.
· Compatibility - export and import notes as text files or transfer data to
and from other applications using copy and paste.
· Consistency - synchronize notes between mobile device and Microsoft
Outlook with ActiveSync.
· Efficient - small size of the program and compressed database leaves
plenty of storage space.
· Privacy - protect notes from unauthorized access with a password.
· Simple User Interface - intuitive user interface allows you to start using
HPC Notes right away.
· Support for Microsoft Outlook 97, 98 and 2000 - synchronize notes directly
with Microsoft Outlook's notes folder.
· Email capability - send email messages directly from the Note Editor by
clicking on Send Mail button.

What's new in their HPC Notes 3.0 Standard Edition?

· Statistics window displays count of word, characters, etc. in the selected
note.

· User's Guide (can be downloaded separately form http://www.phatware.com).

This is a Jim's Must Have, if you use Microsoft's Outlook Notes on your
desktop. There are also superb test reports on it at

In beta, as you read this, is their new Pro version which has many new
features including:

* New HPC Notes desktop module.
* Support for synchronization of multiple notes databases.
* Support for regular expression text search and text filter (desktop and
device)
* Spell Checker. Note: this beta includes the spell checker for the desktop
module only; the final release will also include HPC Spell for Windows CE.
* Support for synchronization of user notifications (reminders), including a
special module to handle user notifications on the desktop PC.
* Many other UI enhancements.

You can get it at their web site.

Some users who upgraded to ActiveSync 3.0 have noticed that during
installation the "Unable to find ActiveSync manager..." error message
appears (HPC Notes 2.03 or later). There is a fix to this problem, thank
God. WCESSTUB.EXE is a patch to ActiveSync 3.0 that adds a syncman.exe stub
file and fixes this problem. I recommend to all ActiveSync 3.0 customers,
who use HPC Notes, or any other third-party programs which extend ActiveSync
functionality, to download and install this patch.

This patch is developed by Microsoft, therefore is not supported by Phatware
as well as any other ActiveSync 3.0 issues that are not directly related to
HPC Notes or any other Phatware product. This patch is provided unsupported
however Microsoft Support has been made aware of this issue. For more
information and to download ActiveSync 3.0 patch, please visit
http://www.phatware.com/activesync30patch.html. This is great support,
Phatware, thanks for the speedy response.

Another program is SynCEnotes Version 1.02 which is freeware and is valid
until Feb 2000. A new version will be provided then I was told. Go to:
http://home.munich.netsurf.de/Christian.Weinberger/syncenotes.html or
http://weinberger.home.pages.de for more. I was having problems synching my
wife's Casio E-105 but the author recompiled the software for CE v2.11 after
I mentioned my problems to him. This is great support for a free program. It
also is compatible with ActiveSync 3.0 he has told me. Their screen looks a
lot different than Phatware's HPC Notes.

Great stuff and again it is free.

Another I've tried is to go to www.calendar.yahoo.com and create you a free
Yahoo Calendar. Then download TrueSync and set it up to synchronize your PC
and your P/PC via the Internet-based Yahoo Calendar application, which
includes Notes. After you've got it set up turn off synching your Contacts
and Appointments, etc. but leave Notes turned on as it added extra
characters to my Contacts doubling the number from 1,400 to 2,800! Your
notes can now synch and you can change the settings so you don't actually
need to sync your Yahoo Calendar, just between your PC and P/PC. You've now
got a free way to sync your Outlook Notes. Of course, you are uploading your
sensitive data to a Secure (hopefully) site.

USING NOTES: My Windows 98 2nd Edition Clipboard now saves up to 12 items
for later recall. The Paste button will paste the item most recently copied
to the Clipboard and to Notes if you prefer. However, you still have access
to the other 11 items via the new Clipboard toolbar. To open this toolbar,
choose View, Toolbars, and then select the Clipboard option.

To copy multiple items to the Clipboard, simply select each item and then
click the Copy button. The Clipboard will store them in the same order you
used to copy them. To paste an item, select the appropriate item from the
Clipboard toolbar and paste. The Paste All option on the Clipboard toolbar
will paste all the items at once.

Now that you have them in the Clipboard just click on Notes and paste it in
there and if you're synched you'll see the new Note show up in your device
immediately. Nothing could be simpler, huh?

Hopefully this answer helped you and others that have read it. If it did let
the newsgroup know so to help others.
