FAX service - Unknown fatal error on certain inbound

Hi,
I have been running the FAX service on my SBS2003 server for a few weeks
with mostly positive results, except for recurring inbound failures -- 2 or 3
a day (out of a dozen or so successes). I've read other postings and
increased my ring from 1 to 2 to answer the fax; as well as disabling
compression. This seemed to help, but I still get those 2 or 3 failures.

Copied below is a the activity log of inbound faxes from the past several
days showing some "unknown fatal errors". Any suggestions much appreciated.

Issue description:

I understand that some time you will encounter problem when receiving
incoming fax.

Analyzing and suggestion:
=============
Before solving the issue, I help you check the modem on the Windows server
HCL, (Hardware compatible list), I am afraid I can not find the your modem
in the list, it means that your modem is not supported in the Windows 2003
server, so we can not guarantee the performance. This issue might be caused
by the hardware incompatible.
Here I will offer you some other general information:
1. The log you offer to me seems to be the outbound log not for the
incoming fax. (sending fax to a remote recipient)
2. Does the issue occur when you send to special recipient or it is occur
randomly?
3. If the issue only occur on some special recipient, you need to contact
the remote recipient to make sure that the configuration on the remote side
is correct.
4. For the inbound fax, we suggest you check if you can route the incoming
fax successfully to the mailbox or print or to the companyweb.

The log file I copied into my original posting is definitely "inboxLOG.txt"
which resides in the Activitylog subfolder.
Yes, for successful incoming faxes, they route fine to both an internal
email address as well as to companyweb fax folder.

The fax/modem I purchased after reading Harry Brelsford's "Windows Small
Business Server 2003 Best Practices" book, which specifically mentioned the
USRobotics v.Everything as the preferred fax/modem that people use with SBS
2003. Unfortunately, I did not review the HCL you mention before shopping
for a fax/modem.

Can you review my logfile again, and tell me any details you might know
regarding the "Reception error" "Unknown fatal error" "0x0000000c" ?

Thanks for you reply.

As I know, the error codes 0x0000000c indicate that this issue most
possibly caused by the sending fax device is a multifunction device that
can do printing, copying, scanning, and faxing. So we suggest you confirm
with sender, and if the scenario is true, we need to change another fax
modem.

To narrow down the problem, would you please tell me what is the model of
the fax modem?

Some of the devices customers reported consistent issues receiving faxes
from are:

3Com Courier V
Brother Intellifax 1270E
Brother MFC 8500
HP 6110
HP 7110
Panasonic KXFHD351.

Please see my suggestions:

1. Contact the senders to see whether they are using the multifunction
device. If so, I suggest that you replace a fax modem which listed in our
HCL so can make sure it works compatible with Windows Server 2003 if your
fax modem do not list in the HCL.
2. Reduce the baud rate of the incoming fax modem and see how it goes.

1) Open My Computer -> Control Panel -> Phone and Modem Options.
2) On the Modems tab, select your modem from the list and click Properties.
3) On the Advanced tab, click Change Default Preferences.
4) The Port speed is 115200 by default; change it to 9600 and see how it
goes.

3. Try turning off compression. To do this, repeat steps 1) - 3) above, and
then change Compression to Disabled.
4. In Control Panel, double-click Phone and Modems. Select the modem on the
Modems tab and click Properties. Click Update Driver on the Driver tab, use
the Microsoft Standard 56K Modem driver and see if Fax works.

Please take your time to perform the steps. If you have any further

Thank you, Crina Li, for your helpful reply.

It is impractical to make exceptions for fax senders using multifunction
devices. I see no point in confirming what machine they are using. I assume
that of the many different vendors and customers who sent me faxes, that
some of them will be using multifunction machines. I cannot 2nd guess them
and buy another fax modem hoping that will alleviate the issue. Besides, the
Microsoft HCL list is very dubious in my opinion. If you poll this newsgroup
or search on fax-related postings, one would see many are using "non-HCL"
fax/modems, and even recommending them! The USRobotics Courier v.Everything
EXT PnP (v90x2) model that I am using is mentioned and recommended by others,
including SBS experts.

Meanwhile, I did make some of the changes you suggested:
-- I changed the baud rate from 115200 to 9600;
-- already had disabled Compression;
-- already had upped the phone answer from 1 to 2 rings;

In regards to updating the driver, I have not done that yet. Looking at its
properties, I see it is Microsoft 10/1/2002 version 5.0.1.18, and advanced
details shows file version is 5.2.3790.0 (srv03_rtm.030324-2048). Can you
confirm whether or not this is the "Microsoft Standard 56K Modem" driver you
are recommending, or should I update it?

You do not need to update the Microsoft Standard 56K Modem driver, you need
to update the fax modem from vendor.

For the same issue, I have seen the main solution for the issue is to
change the fax modem for your SBS server.

Fro example:

The US Robotics Sportster 56k V.92 (model 5686) was replaced with a 3Com
Courier V. Everything External modem.
The Zoom V.92 USB modem was replaced with a 3Com Courier V. Everything
External modem.

You may also try to contact the modem vendor to get more information for
the issue.

We may be talking about the same fax/modem? USRobotics makes the Courier
v.Everything, not 3Com. Unless 3Com lends its name to the same modem.

In any case, please show me where either is listed on the HCL list. I
searched
http://www.microsoft.com/windows/catalog/server/default.aspx?subID=22&xslt=categoryProduct&pgn=ff26c601-26cb-496b-ab43-b950e008fedb
and found only a 3Com NIC card and a USRobotics wireless adaptor -- no
external modems listed for either manufacturer. Incidently that catalog
leaves much to be desired with its sloppy search results. Why are NIC cards
and adaptors listed under the "external modems" category, for example?

AS I know, the modem we talk about should not be a same modem. The modem I
have provided is produced by 3com Company. The vendor of the modem should
be different.

As there are many modem manufacturers, we can not guarantee they are
compatible with Windows 2003. So we have tested some third party hardwares
and we will put them in the HCL list of Windows 2003 if it is compatible
with the Operation System. We can only guarantee the function of third
party hardwares which have been listed in the HCL. For the hardwares which
are not listed in the HCL, you may need to contact the vendor for more
detailed information.

Hi, Crini Li,

Can you list those external modems that are compatible with Windows Server
2003 please? The HCL catalog does not display such list, as it mixes in an
inordinate amount of other devices -- NIC cards, internal modems, etc.

Over the past few months I have purchased 2 modems so far -- the USRobotics
and a Zoom -- based on searching many posts in this forum for
recommendations. It seems I need to purchase yet a 3rd -- to use the
Microsoft Fax service reliably.

As you contend that the resolution to my original issue in this post is to
use a HCL-recommended modem, then your help would be much appreciated in
deciphering the HCL which does not show an external fax modem list
exclusively.

I am sorry for that I also can not list all the third party hardware in the
HCL for you. You may still need to search the HCL to find the appropriate
external modem. Actually little external fax modem is listed in the HCL of
Windows server 2003. Hope the other users in the newsgroup can provide some
successful experience for the issue.

I find it unacceptable that you cannot list the external modems
contained in the HCL for two reasons -- (1) for many postings in this
newsgroup related to fax services issues, you and other Microsoft
experts often resort to a final conclusion of modem has to be listed on
HCL; but yet (2) the HCL does not separate and list external modems for
easy determination. If the HCL holds such weight, I think it encumbent
on Microsoft to make it readable, and/or you and other Microsoft
experts to stop deferring issue resolutions to that list as the
ultimate solution to many people's fax services problems.

What say others? Am I being unreasonable in such request?

Crini Li,

Did you actually look at the link you are suggesting "should be all the

external modems which are compatible with Windows 2003 when you open the

below web site"!? It yields pages and pages of internal modems, adaptors,
wireless lan cards, cable modems, etc. Yes, "should be" external modems, but
is not!

Thanks for your update.

We also only can provide that link based on Microsoft official HCL website.
It may include all information which has external modem function. If third
party hardware is not in the list, we can not guarantee the function of it.
For the detailed information for the hardware, you can only consult the
hardware vendor.

Hi, Crina Li,

It seems this thread has dragged on too long, with no resolution or clear
explanation why or what the unknown fatal fax error is -- other than my modem
is not listed in the Microsoft HCL list, so implying that my modem itself,
and not Microsoft's Fax service, is the root cause.

Meanwhile, you defer me to the HCL list, which I contend has big problems in
listing recommended external modems, but you don't acknowledge. Can you
suggest how or to whom I can effectively complain regarding the HCL? Or can
you, being part of Microsoft support forward my complaint -- rather than
ending resolution of this thread with "...we can only provide that link"...?

So, . . . what about that HCL? Aside from my particular issue in this
thread, will no one acknowledge the problem with the HCL listing external fax
modems? Cliff, as owner of this newsgroup, does it not concern you that
other threads relating to fax issues (there seem to be many) often defer to
that HCL as a resolution? It could be a resolution, if it actually provided
a list of external fax modems that one might easily find models to consider
replacing their modem not on the list.

I have rerouted your comments to our web site master and they are investigating the search functions of the site. Also there are indeed not many modems that passed
our hardware quality test and this is why you cannot find some on the site. I sincerely apologize for any inconveniences this has caused to you. I hope some experienced
users can share with you their working modem models so that you can have any references. As I know, such issues have been hot discussed in the past months so you
can do a search.
