The Exchange Global Address List (GAL) is a shared address book that contains contact data for every associated user in an Exchange organization/tenant. This address book can be accessed using Outlook. This guide shows how to view the GAL using the Outlook desktop app and Outlook on the web.

If you use Outlook with an Exchange Server account, your address book list will include the Global Address List (GAL). The GAL contains the names and email addresses of everyone that has an account with that Exchange Server and is configured automatically by Exchange.


When you open the address book for the first time, the default address book is displayed. If you have a Microsoft Exchange account, the default address book is usually your Global Address List. For IMAP, POP3, and other types of email accounts, it is usually an Outlook Address Book. You can change the default Address Book and set other address book preferences, such as which address book to check first when sending a message, and where to store personal addresses.


Although you can't create or use Personal Address Books any longer in Microsoft Office Outlook 2007, you can import old Personal Address Books and convert them. We recommend that you convert your Personal Address Book to Outlook Contacts, which can be displayed in the Outlook Address Book. Outlook Contacts provide flexibility and customization that are unavailable in the Personal Address Book. For example, add personal profiles for each contact, including birthdays, phone numbers, anniversaries, and website addresses.


Global Address List

To display this address book, you must use a Microsoft Exchange Server account. The Global Address List contains the names and email addresses of everyone in your organization. The Global Address List is automatically configured with an Exchange account. The Exchange administrator or network administrator creates and maintains this address book. It can also contain email addresses for external contacts, distribution lists, conference rooms, and equipment. Subsets of the Global Address List are displayed in the address book when you choose an entry under All Address Lists on the Address Book list. You can download the Global Address List for offline use.






Outlook Address Book

This address book does not require you to use an Exchange account. The Outlook Address Book is created automatically and contains the contacts in your default Contacts folder that have either email addresses or fax numbers listed. These contacts are displayed in the Address Book dialog box when you click Contacts in the Address Book list. When Outlook is using an Exchange account in Cached Exchange Mode, the Outlook Address Book also is available offline.


Internet directory services (LDAP)

Internet directory services are used to find email addresses that are not in a local address book or a corporate-wide directory, such as the Global Address List. The LDAP directory requires network connectivity to connect to the LDAP server.


Third-party address books

You can add third-party address books to Outlook by using the third-party provider's Setup program. Outlook displays third-party address books in the Additional Address Book Types list.


Click the Search tab, and then change the server settings as needed.

The Search Time-Out setting specifies the number of seconds that Outlook searching the LDAP directory to resolve names in a message. You can also limit the number of names listed in the address book after a successful search for a name.


An address list is a collection of mail-enabled recipient objects in Exchange Online. Address lists are based on recipient filters. You can filter by recipient type (for example, mailboxes and mail contacts), recipient properties (for example, Company or State or Province), or both. Address lists aren't static; they're updated dynamically. When you create or modify recipients in your organization, they're automatically added to the appropriate address lists. These are the different types of address lists that are available:


Global address lists (GALs): The built-in GAL that's automatically created by Exchange Online includes every mail-enabled object in the organization. You can create additional GALs to separate users by organization or location, but a user can only see and use one GAL.


Address lists: Address lists are subsets of recipients that are grouped together in one list, which makes them easier to find by users. Exchange Online comes with several built-in address lists, and you can create more based on you organization's needs.


Offline address books (OABs): OABs contain address lists and GALs. OABs are used by Outlook clients in cached Exchange mode to provide local access to address lists and GALs for recipient look-ups. For more information, see [Offline address books in Exchange Online].


Precanned recipient filters or custom recipient filters identify the recipients that are included in address lists and GALs. For more information, see Recipient filters for address lists in Exchange Online PowerShell.


By default, Exchange Online comes with five built-in address lists and one GAL. These address lists are described in the following table. Note that by default, system-related mailboxes like arbitration mailboxes and public folder mailboxes are hidden from address lists.


An Exchange Online organization might contain thousands of recipients, so the built-in address lists could become quite large. To prevent this, you can create custom address lists to help users find what they're looking for.


For most day-to-day activities, employees at Fourth Coffee don't communicate with employees at Contoso, Ltd. Therefore, to make it easier for employees to find recipients who exist only in their division, you can create two new custom address lists: one for Fourth Coffee and one for Contoso, Ltd. However, if an employee is unsure about where recipient exists, they can search in the GAL, which contains all recipients from both divisions.


Although address lists are useful tools for users, poorly planned address lists can cause frustration. To make sure that your address lists are practical for users, consider the following best practices:


The closest I have come is this Python code which came from ActiveState Code, but it does not search the global addresses, only my (local?) list, which has 3 addresses in it, which is obviously not right. There should be thousands of records.


How do I hide Office 365 Group email addresses from the OFFLINE Global Address List? They are hidden from the normal Global Address list via PowerShell commands. However, I cannot get them to be hidden in the OFFLINE Global Address List


In the Contacts tab in outlook there is no option to search for a name that contains "ABC", neither from Active Directory itself (Run: rundll32 dsquery.dll,OpenQueryWindow and tried the Advanced Search).


One Outlook addin you might want to check out is Company Contacts for Outlook. It provides a full text searchable global address book. Wild cards, search in specific column, sort and rearrange columns, quick actions, etc.


Hi everyone ! Do you know if it's possible to hide the global address list from users. I explain myself : I'm working in a school, and I don't want students to find any email address from our staff. If you have any idea, I'll be happy to read them :)


Is it me or is there just no way to force the Default Global Address List to update itself in real-time? I added a shared mailbox that is needed for "sending as", and it needs to show up in the GAL in order for users to add it as a "FROM" address. I've removed the "hide from address list" setting, ran "Update-GlobalAddressList" on the server, and used Outlook to download the address list to the client. But i am not seeing the account yet. It will probably show up tomorrow afternoon. Am I missing something? Anyone know a way to force an immediate update to the GAL that users can download at will?


I would like to seek your guidance on how to implement or migrate my global address book from iredmail/roundcube to outlook. I have implemented the globaladdressbook on roundcube and it works fine. However, for users who are accessing the server through outlook as preference as not able to view the global address book from roundcube.


I believe we have installed SOGo groupware when we installed iRedmail. I am checking right now because we haven't used it. Shall I just add email addresses of users inside this one? Shall this co-exist with the global address book from roundcube or I need to disable global address book from roundcube?


But when I click on Address Book there is nothing inside. On the server I installed the globaladdressbook plugin so it is now working on roundcube. But for outlook, I don't have anything inside the Address Book.


The global address book offered by SOGo is not available in CardDAV service, and seems some carddav clients just sync the default (one) address book, not even sync other address books owned by the user.


By default, Outlook 2016 - 2019 sets the Offline Global Address List as your main address book. This can cause issues when sharing calendars with other people in your department, or when granting delegate access to your email account. The instructions below will assist you in changing the default Address Book in Outlook 2016 - 2019 to the Online Global Address List and prevent the aforementioned issues.


After completing this tutorial you will have configured Microsoft Outlook to always reference the latest version of the global address book directly from the email server rather than referencing a downloaded local copy.


After completing these steps, you can reopen Outlook, make sure that it is not in Offline mode, and search for an email address to confirm that it is now referencing the most current global address book.


If your company hosts its email system using Microsoft Exchange, you have the benefit of a centrally-managed address book called the Global Address List, or GAL. Maintained by your IT department and stored on the Exchange server, the GAL usually contains names, addresses and email information for everyone in your organization with a company email address. If your company is moving from Exchange to another email system, or if you want a quicker response time when addressing emails, you can also add items from the GAL to your locally-stored contacts folder in Outlook.
