We are running Exchange 2000 on the back and Outlook 2002
& Windows 2000 pro on the front.

I recently had several new exchange accounts created for
conference rooms. After they were created, I logged into
them and set them to automatically process meeting
requests and denials. I also put delivery restrictions on
them. At first they worked, where I would start a new
meeting and put the conference room as a required
attendee. The resource would automatically process the
request and send me back an email with accept or deny.
Then all of a sudden, they all stopped working. Now they
won't process the requests, even though if I look at
tracking on my meeting, it says that it was accepted. But
looking at the calendar of the resource it isn't there.
(not even as tentative) It is just sitting in the Inbox
not doing anything.

I did set myself up as a delegate for these boxes. I also
have noticed that the Anonymous id is missing from the
calendar permissions. I have read several sites saying
that you have to add the conference room as a resource,
but that doesn't work either.

I talked to another admin who has one setup for his area
and it is working fine and processing and sending the
acceptance emails perfectly. I did play around with some
of the settings, but I've returned them all to normal (so
I think). Everything looks to be in order.

If anyone can think of anything, I would appreciate it.
I'm about to delete the account and create a new one.
Please email me below with any ideas.

Thanks

Justin

Hi Justin,

As far as I know, there are two ways to set up resource
mailboxes:
1) Define a delegate for the resource mailbox, (i.e. an
administrator or a secretary). The Outlook that is running
on the administrators' PC will handle the invitation
requests, if setup properly. The processing is done on the
Outlook client and not on the Exchange server.

2) Give author-permissions to whoever needs to schedule
the resource. Everyone who wants to claim this resource,
has to explicitly invite the resource as a 'resource (room
or equipment)' in his/her Outlook. No invitation e-mail is
sent, the appoinment is placed into the resources'
calendar directly. Of course, users will need 'Author'
permission for this to work.

I think in your case, option 1 was used, and the person
who was configured as delegate for this resource got a new
PC, or just a fresh copy of Outlook, with no configuration
for automatic processing of invitation requests.

Justin,

Cleanup in a Resource Mailbox is an important step to keeping the
auto-accept rules working well. Be sure your mailboxes are set up to delete
the InBox and Sent mail items after processing them. You should also create
a rule to delete any Replies that may be sent to the resource. [I had a user
who always replied with "thank you" to my conference room!]

I have set up conference rooms as resources many times and found the first
thing to stop the automation was having hundreds of items in the InBox. Now
I program resources as scripts on the Exchange mailbox. See
http://www.exchangecode.com/aamain/aa_body.html Robert Strong's website
for great working auto scripts for Exchange resources.

Kathy,

The exchangecode scripts don't work for Exchange 2000 without some
tricky tweaking. There is a sourceforge project that has implemented
the exchangecode functionality as an event sink at
http://autoaccept-sink.sourceforge.net. There is also a commercial
product out now, ERM, that helps with resource booking -
http://www.swinc.com/erm.

cheers.
