Dear Steering Committee Members:
We
hope this message finds you well. In keeping with the theme of our flagship
Conference
this year, “A
Conference for our Community of Communities”,
we are also delighted to announce the availability of meeting space for our Industry Collaborations. In the past, many steering committees have used the opportunity to hold face to face working group meetings. If you wish to reserve meeting space, please
note the following key points:
Intended Use:
The meeting space is designated for industry collaboration meetings exclusively and is not intended to
substitute project discussions, which are to be part of the conference tracks. However, in the past, steering committee meetings, community meetings and so on took place.
Timing: Meeting times will run parallel to the conference tracks.
We will coordinate with program managers and PMC’s to minimize scheduling conflicts with your talks and
complementary sessions to the best of our ability.
Meeting Rooms:
Meeting rooms will be equipped with HDMI-enabled displays and microphones. Regrettably, streaming capabilities
will not be available.
Availability:
While we will make every effort to accommodate all requests, please be aware that meeting space availability
may be limited, especially during peak times. We strongly advise booking well in advance to secure your preferred time slot.
Booking Process: To reserve meeting space, please complete this
Form.
Meeting slots will be assigned based on availability at the time of request.
Birds of a Feather Sessions:
BoFs will be held in the evenings for groups unable to meet during the day, providing an opportunity for
further collaboration.
Due Date: In order to help us with planning, we ask that you complete the form prior to May 31st. While the due date may appear early, OCX is only 22 weeks away!
We are dedicated to facilitating industry collaboration during the conference and will strive to meet your meeting space needs as best as possible.
