Hi Clark,

There was discussion and a general consensus on this Monday's marketing call on dedicating the majority of the remaining budget to swag.  The group agreed to get this firmed up with actual shirt counts, etc by next week.

Here are some related tickets and a recording of the call:

 - On-boarding the vendor of the MP shirts: https://github.com/eclipse/microprofile-marketing/issues/598

Hi David,

We have already begun executing against the plan that was discussed several weeks ago, based on a previous brainstorming session and with an eye towards what the WG had established as 2021 program goals. There is some SWAG (around $5K) built into that plan, though it must flow through the Eclipse Foundation. Amelia provided preferred vendor information and we will certainly use them if it makes sense to do so. Let's be clear, the WG had the entire year to use this budget and in the absence of a plan to do so, it left no choice but to put one in place and get to work. Given the short runway, the foundation has already made financial commitments for SEO work, as well as a campaign around MicroProfile 5.0 (white paper and PR). We will be reaching out to SMEs for the MicroProfile 5.0 campaign and will truly appreciate WG input and help in providing feedback to ensure success of the SEO strategy. Because of the late date, actual deliverable will likely flow into 2022, with expenses incurred within the 2021 financial year.

Thanks and regards,

Clark

This is news to the steering committee which just voted to reduce the 2022 budget with the understanding 36k was still available in 2021.  In the future we definitely need to do significantly better in executing our programs earlier.  As well if the foundation can give us a deadline two weeks in advance before committing leftover funds that would be helpful.

Can you confirm no part of our 2022 budget is committed to either of these two initiatives?

Hi David,

This should not be news to anyone. Couldn't agree more about the need to execute better and earlier. The foundation has provided plenty of notice about the need to act, even prior to my getting involved. Since the time I was brought into the discussion, we have held a brainstorming session to discuss ideas and opportunities upon which a plan was created, presented and distributed. So I am confused as to why this would be news, and quite frankly find this last minute push to spend $25K on SWAG to be an outrageous waste of resources, not in line with the 2021 WG plan objectives, and completely counter-productive. I could say more, but I won't.

SWAG alone is not a marketing strategy, but as previously mentioned the plan that was presented includes up to $5K in swag, but it MUST flow through proper channels. Any purchases made that do not go through approved channels are not eligible for reimbursement. Again, we ask for the support of WG members to ensure that the SEO and MP 5.0 launch campaigns are successful. Your cooperation and input on the document sent yesterday will be critical to that process.

Finally, per your question, no part of the 2022 budget is being committed to the programs that have been outlined. This is 100% 2021 budget.

Thank you,

Clark

There is a 25k line item in the approved 2021 budget labeled "Events and SWAG".  Again, the project was aware we were taking too long and was trying in good faith to complete that line item.  You have our apologies if this was viewed as hostile.  We were simply trying to comply with the EFs requests to ensure the budget was spent.

Thank you for that confirmation.

Thank you David. I can certainly appreciate that.

Let's work together to make all aspects of this plan successful. Personally, I see a lot of goodness in promoting MicroProfile 5.0 and in building a strategy and plan around shining a brighter light on all the good work that is being done by this WG, combined with website SEO and rewarding our community with great SWAG. There's a place for all of these programs and the foundation objective is simply to provide support in making it happen.

I welcome questions, comments and feedback anytime. My personal cell phone number is 801-750-9144 for anyone that would like to have a conversation. Thanks and have a nice weekend,

Clark
