Dear All,

Please see the trail mail received from Director IT regarding deactivation of alumni email accounts. 

As directed by the DG, reactivation of the deactivated accounts for which requests have been received will be done for the period 09 March to 13 March 2023. All accounts required to be deactivated as per policy will be deactivated wef 1000h on 14 March 2023. The same will be done by respective webmasters / computer engineers / IT in-charge. This re-activation of email accounts will be done only for the purpose of recovering data pertaining to academic nature while at NIFT by each individual.

For wider circulation, I have copied the email to all faculty, however, CCs are requested to inform all the ex- students to take a backup of their NIFT email data, as all accounts will be deactivated wef 10:00 am on 14th March 2023. 

Important: CCs may also add to the graduating students checklist for 'No Dues', a reminder to download data from their email account within three months.

Dear Prof Sudha,

Kindly refer to our discussion on the subject with  the DG on 03 March 2023 and his subsequent directions.

The following aspects merit consideration :-

1.  All software licenses for NIFT are given at discounts by vendors on the condition that they would be utilised for academic purposes and not commercial purposes.  An agreement is signed between NIFT and the respective vendor stating the same. This document has legal implications and is accordingly vetted and cleared by our Legal Section before it is signed.

2.  NIFT email accounts are meant for academic purposes related to NIFT and not for commercial purposes. The existing NIFT policy ( No. NIFT/DIT/IT/E-MAIL SOL-GOOGLE APPS/2013 dated 20th Oct 2020) clearly states that within three (03) months of a student passing out or leaving NIFT, his / her NIFT email account will be deactivated. For faculty and other employees of NIFT the email account is to be deactivated within one week of the individual leaving NIFT. A copy of the policy is attached for ready reference.

3.  Once an individual is no longer a student or employee of NIFT, further use of this email account would not be for academic purposes related to NIFT but for commercial or other purposes which would be legally against the agreement signed. 

4.  This policy has been promulgated to all campuses in NIFT and the respective webmasters / computer engineers / IT in-charge are supposed to implement it. 

5.   A summary of all student accounts which were supposed to be deleted till date and have not been done so is attached. NIFT has oversubscribed its deemed allotment of space on  google, primarily because of this. This issue needs to be addressed on priority.

6. As directed by the DG, reactivation of the deactivated accounts for which requests have been received will be done for the period 09 March to 13 March 2023. All accounts required to be deactivated as per policy will be deactivated wef 1000h on 14 March 2023. The same will be done by respective webmasters / computer engineers / IT in-charge.

7. This re-activation of email accounts will be done only for the purpose of recovering data pertaining to academic nature while at NIFT by each individual.
