Hi all,

Here is a tentative plan for our Spring Kids' Day event. I'd really like everyone to be on the same page so anticipate a 30 minutes meeting for Kids' Day 30 minutes before Week 10 board meeting.

This looks great. I really like the idea of having athletes participate.

Quick question, are you going to call the event Kids' Day?

What if we ask for suggestions? At Thursdays meeting, you could explain how we are transferring the idea of the Hope Program to a local event targeting at-risk youth in LA, tell them about the event details, and then ask members to submit event name ideas. =)

This is great, Ben! Getting the funds has been the most important part of HBAN and I'm sure it will also be for Kids' Day.

I submitted the venue request for the NAF and IM field last week and Sunset Rec today. NAF and IM fields are booked on the date we want (june 1) so I turned in alternative dates. I'm going to call  again tomorrow to check on the status on that. Sunset Rec should get back to me within this week. 

The grant list looks great! Which application do you feel is the longest or most intensive? We can work that together then just use that as a baseline for all other grants!

Update: Sunset Rec June 1st is confirmed. We have waivers for the kids. :) Super excited for next quarter!

@Ngan: The facilities manager Edgar Torres sent a conformation to be filled out. It was addressed to you since you are the signatory I put down. I can fill it out if you send it to me. Also attached is the waivers we can send the kids. Thanks

I would give you the link but the info is my sign in info for all my UCLA accounts. So can you just give me the answer for:

How many attendees?

The answer doesn't have to be perfect and can be rough. Sorry to rush cause I don't know much bout the event enough to answer but can you roughly answer it by today cause we'll lose the EOL by tonight if we don't answer it. Thanks!

Event Description: Include speaker or performer names, speaker affiliation, lecture or conference title, purpose of event, such as fundraiser to benefit what organization, etc. Medical, Educational Missions and Outreach travels to Vietnam every summer to carry out our Hope Program which involves providing funding, supplies, and toys to orphanages. In addition to helping maintain the upkeep of the orphanages M.E.M.O members also get a chance to play with the children, getting to know their story as well as sharing a day full of playing and fun. The purpose of Kids’ Day is to bring M.E.M.O’s Hope Program to the UCLA and greater Los Angeles community. M.E.M.O will be hosting around 150-200 children from Olive Crest Youth, an organization in Los Angeles that supports abused, neglected, and at-risk children and their families. During this event we will be holding various games and activites in which we aim to provide the children of Olive View a space to have fun, be active, and be healthy.

 ACTUAL Event Start and End Times ? 

1PM-5PM but we want to book 12pm-5pm for pre-event set up.

Thanks Jeannie. A few minor details for the event that I need to answer lol:

will food be served? to who? prepared where (outdoor or indoor)?

amplified sound-outdoors? is it live music, recorded music, or spoken words? apparently we also need to describe proposed sound level too lol

Yes, to the kids and all volunteers. The food will be prepared outdoor.

Yes, amplified sound will be used. It's going to be used as a PA system, but going to mostly used for music during the activities. The sound will be heard throughout the whole event area and for a short distance outside the area.

I agree with what Ben said about the food for kids and volunteers however I didn't really image needing music for any of the games. I think if we come up with interactive and really fun activities the kids won't care about the music. Plus I think having music will be more of a hassle and money (?) so i would think the PA system would just be used for occasional announcements (switching stations, lunch time, water break) and the sound will be heard throughout the event area. 

What do you guys think?

I think music sounds fun and that volunteers and kids might enjoy it. Will it cost more if we just make a playlist on an mp3 player/phone and plug it in to the PA system?

Music isn't what costs more it's just the PA system and the set up so if you want a PA system to begin with I don't think money is an issue. However getting music approved might be a bit more difficult but it is up in sunset rec and should be more lenient. Once again I say talk to Pam! :)

I'm thinking of lying bout food being prepared at the event. We can always change that later. So everything is ready to go. I won't send it until tomorrow morning cause I rechecked and it says I have until " 3/14/2013 5:53 PM or your event is subject to cancellation". So I'm pasting a print screen of what I will be sending it. Please look over and text me or respond via e-mail by tomorrow (let's say 11 am?) and I'll make the necessary changes and submit it :)!

I asked the facilities manager what venue would hold up to at least 150 people and he even said the lower lawn was the largest one. So I'm not sure about the 25 ppl but I'll email him and double check.

The app looks great and in regards to the food preparation just say we will be handing out pre-made sandwiches (from a store) and cut fruits (if we are allowed to cut them ourselves)

I'm not very sure... I suggest either you or Jeannie send an e-mail to Pam and ask. But I suggest going as soon as you can before we lose the reservation of the venue, because we can't confirm the reservation without Pam's approval :(.

I don't really know. I think it depends on if someone wants to book the venue during the time that we want it and get the EOL done before us then we would lose it.

Update: Pam approved the event. We have a venue. She wants to specify the restrictions on music since people in the dorms will be studying. Also, we need to look into possibly buying insurance to cover the club just in case there are accidents so I will look into that.

Uhmm... there's no fee for venue lol. It's the sound system and tech and hired people that actually costs money.

Did they provide an estimate of how much that would cost when they sent the confirmation? If not I can email them again and ask but filling out the grants would be alot easier with that information

Iono if the same thing applies but for the cost of sound system and tech..etc for HBAN I had to go to the event's manager Lorrie. You might want to ask Pam since your venue is in the dorms.

hello! we couldn't apply to get donations from costco for gala because they don't do donations for merchandise for fundraisers BUT they do do donations for children, education, and heatlh so we can look into applying to costco for kid's day! =)

Groups are now, by University requirements, strongly recommended to do both. So, the group needs to do the waivers from the parents but also the UC Marsh insurance coverage on-line process as I noted. This helps protect the group. So, please follow up on both. Thanks. Pam

   I’m part of a non-profit organization on campus called Medical, Educational Missions and Outreach (M.E.M.O.). Our organization spans across three UC chapters with the goal of doing humanitarian work to provide for underserved communities abroad and local. This quarter, we are putting on a special event called Kids’ Day on Saturday, June 1st, 2013, inspired by an existing program we do abroad called the Hope Program. On this day, we will be hosting foster children ages 7-15 years old at UCLA’s Sunset Recreation Center through Olive Crest, an organization that provides safe homes, counseling, and education for at-risk youth and their parents. The whole idea of this day, as it is with the orphans we visit in Vietnam through M.E.M.O.’s Hope Program, is to play games and inspire kids to be healthy, active, and balanced despite their struggles.

This event will require lots of student volunteers to set-up and run various games and activities for the children. We would like to inspire the kids of Olive Crest by showing them a memorable time at Kids’ Day, where we can involve the children in friendly competition and cooperation with their peers along with the many scholars, athletes, leaders, and quality community members attending UCLA. As an individual believing in the True Bruin spirit, please sign up to volunteer your time on Saturday, June 1st. The event will be lots of fun. @Everyone: Once Christine has the funds sorted. I will be planning a trip to Walmart any day this week after 7pm. Let me know if you wanna come and shop for equipment/toys for Kids' Day and 7G.

How many attendees? 200-250 Event Description: Include speaker or performer names, speaker affiliation, lecture or conference title, purpose of event, such as fundraiser to benefit what organization, etc. Medical, Educational Missions and Outreach travels to Vietnam every summer to carry out our Hope Program which involves providing funding, supplies, and toys to orphanages. In addition to helping maintain the upkeep of the orphanages M.E.M.O members also get a chance to play with the children, getting to know their story as well as sharing a day full of playing and fun. The purpose of Kids’ Day is to bring M.E.M.O’s Hope Program to the UCLA and greater Los Angeles community. M.E.M.O will be hosting around 150-200 children from Olive Crest Youth, an organization in Los Angeles that supports abused, neglected, and at-risk children and their families. During this event we will be holding various games and activites in which we aim to provide the children of Olive View a space to have fun, be active, and be healthy.  ACTUAL Event Start and End Times ? 1PM-5PM but we want to book 12pm-5pm for pre-event set up. The games leaders are going to be assigned a group of kids to rotate with for the whole time so you're not responsible for managing a game but a group. 
 So know the rules for kickball, soccer, and toilet tag/sharks and minos (or a similar tag game of your choosing)
And stretching will be during the first rotation and yes you can lead it Phoebe

I want to have a Kid's Day meeting before the event so we are all on the same page about the next day. Additional thoughts: maybe we can put big red X's on the foods to avoid. I know it might seem tacky, but that way it's clear that they are the bad foods to be avoided-- right now, there are lots of words and not much visual meaning.

I also feel the suggestions are really general and simple (i.e. replacing fruits and veggies), but maybe we can use more specific and realistic examples. For example instead of burgers, have a sndwhich with wheat bread (I feel like salads aren't really familiar to ethnic families-- I know I didn't really consume veggies in the form of a salad at home--and the suggestion might just be lost altogether. It's not like people don't know salads are healthier than burgers.)

Maybe the side by side comparisons can be more obvious with table rows and simple, short phrases. For example: -top row: Calories -second row: effects on energy/hydration for the day or something -third row: long term health effects (we need vitamins, protein for nutritious development/growth; bad food = diabetes, heart complications, plaque in arteries)

If not, it's fine the way it is too. :) Or I can edit this. I just don't want you guys to be taken aback by edits I make to this, let me know what you think.

This is what I'm working on. I could use some help in looking up facts for this format of info (it's really easy to just wikipedia a couple of facts about each food; you jsut search it in wiki and go tot he nutrition section. lol). I'd really appreciate someone doing that and typing the short form like I did here and just IMing it to me while I format it on my glitchy, overheating computer.

I'm thinking we can just make this one simple page without the food pyramid and a couple of boxes, because the alternatives we list already hint at food groups to aim for and which ones to avoid. I only need six sets of facts left and I just want them in simple list form as i've done for the top two boxes.
