[MT-L] typing in patient account number in eMAR counts as a scan

All,

Have any of you come across this?

Meds can be given without scanning but barcode shows up and credit for scanning
Our users can  log into emar, NOT click on any button or click on any med then type in the patient's account number.
The bar code will appear next to the patient's name..
Run the Scan/Not scanned report and see that the nurse was credited for scanning.


Meditech says that we have to reconfigure all of our scanners (200-300 between all three hospitals). In addition, our consultant says that there is a three second rule, but I can type pretty quickly and it takes me 4-5 seconds to type in the number and it still takes it as scanned.

 

Has anyone come across this and how did you resolve it?

I worked extensively on this.  When we applied Meditech's 3 second rule patch in 5.66 Magic they were never able to get it to work correctly.  Every time we had a dual med scan where you had to scan more than one barcode, the transaction would show up as not scanned in our statistics. We lost 4 months of data while we tried to have Meditech fix the issue and we finally surrendered as the loss of accurate statistics was more troublesome than someone tricking the system.  What we did find was little prevalence of this occurring, with most of the behavior showing up in the ED.

The wristbands we used were so easy to scan it was hard to believe people would go through the trouble of typing but they sometimes did.  Wristband image below.

If you apply the 3 second rule patch, make sure you test all your scenarios and review the reports before moving it to live.

Janis, what other items/workflows caused the statistics to be off when we had that patch in place?

There is a PHA parameter setting that you can set to prevent users from manually entering the V number in eMAR. I would suggest contacting them to find out more details. I only know about it because we set it and then had great difficulty getting things to scan after that. We had to reverse the setting as a result so test it thoroughly before putting it live. We did not have to recalibrate our scanners.

We had this same issue a while back. We were also told to reconfigure our scanners as USB HID devices. When we tried to do this, we found out from our scanner vendor our scanners were older models that could not be reconfigured.

 

I asked for a custom for the 3-second code, but had it changed to 2 seconds.

 

If your scanners can be reconfigured, that is the best way to go since it uses standard functionality. Any time you introduce custom code, you run into the possibility that something else will not function. I had this problem with a couple of PHA rules I had in place. It took Meditech recoding the custom to get everything functioning correctly.
