We are Magic 5.67, we setup our user mnemonic either by Department or by Designation.
Eg.
LAB.ABC
RAD.ABC
ADM.ABC
PA.ABC
RN.ABC
RPN.ABC
OT.ABC
PT.ABC
Etc…
When users move from one department to other department, we do not change their user Mnemnoic but if they change their designation, then we change their mnemonic.
Eg.
RAD user move from Imaging department to Registration department, their mnemonic is the same as RAD.ABC
RN user who graduate to Physician Assistant, we change their mnemonic from RN.ABC to PA.ABC
There are questions if what we do is best practice.
Do you mind to share how your facility setup their mnemonic and what happen when user move from one position to the other?

That’s the way our Magic system was set up in 1994 and the way it still is today. We have basically the same ground rules. People get married, divorced, and re-married but it is still RAD.ABC.
A long time ago there was a way to use/convert to a system of first initial.lastname to correspond with the user’s network UserID. This would eliminate the department transfer problem however not the name changes. You would have to establish rules for those with the same last name and first names starting with the same letter, such as Steve Jones and Sandi Jones.

We normally do first initial, last name and if there were people with that same mnemonic, we would add a 2 after it.

Back in our Magic days, things were done here the same way. When we migrated to 6x, we decided to set up all users using their employee number as their mnemonic. After we set everyone up this way, the financial users argued they could not use numbers for their mnemonics because they were accustomed to alpha mnemonics. After a significant debate, leadership caved and allowed them to have their way. We agreed to set user up with the same naming convention as providers. (First 3 of last and first 2 of first). Additional letters are added only for duplicate situations. Mnemonics are not changed for any reason. We use the alias last names to assist with finding users that had name changes.

We had the same argument! Our compromise was to use the users first middle and last initials in combination with the employee number. It is more unique. And we no longer change this mnemonic if they get married or divorced like we did in Magic.

We use the user ID of last 3 digits of your last name and first 3 digits of your first name; if there is more than one of the same user ID then they get a 1 after the user ID (and so on). Temporary accounts get a 99 at the end and students get an 88. You get an account for EACH of your roles. (for example, we have Lab staff who are also students going for their nursing designation; we also have staff doing multiple roles)
We match our user ID’s to what we have it in Active Directory with our goal that when we convert Meditech to use active directory we will be able to manage access through AD (i.e. access to the systems, not individual security permissions).
When a user changes roles we just have to change their Meditech permissions and active directory groups; relatively easy. When they change their designation we just have to update the title field in AD and the username in Meditech (the designation always goes from the right to the left in the username field); again, easy. When there is a marriage and the user wants to change their last name then we do NOT change the userid in meditech or windows (which does cause some confusion) but we do change their name fields.
I can’t say that ours is best practice but it does work for us.
