My site is running 5.67 client server. I have the need to interface PDF documents from a 3rd party vendor system into Meditech. Sounds like the Cold Feed interface will do the trick. My understanding (which I appreciate getting confirmation from those of you who are using it) is: that the 3rd party system will need to save the PDF document to a designated share drive (preferably on the scanning and archive server) using an agreed upon naming convention. Meditech constantly searches (real-time) for newly arrived documents in that designated share location. When it finds a new document, it will automatically perform a PDF to TIF conversion. Meditech will then create the document and make the document available for selection in the “Other Reports” section of the EMR. It is my understanding that if I have a 5-page PDF document it will become a 5 page single document in the EMR.
Appreciate receiving confirmation that my understanding is correct. Also appreciate any responses of your experiences – especially of any issues that I should anticipate – from those of you who are already using the Cold Feed interface.

Here is some information I was provided with previously.
-OV file Receive into Meditech as 1 pdf file. - This is correct if you want multiple pages to show up under 1 placeholder.
-Meditech then saves the document to the image server as 1 document. (5 TIFF files in 1 PERM folder) –
We're saving each page as a TIFF image file in the following location:
Server Name: SBA-IAMGELIVE
Folder Path: D: > PermLive > LIVE.SAH.MRM > 201701
NOTE: an account number needs to be associated to the image(s) in order for the image to be retrieved in the Meditech EMR and ELR.
-Meditech EMR is then able to retrieve the document as a single scanned image (camera icon in the EMR). - This is correct. It will show as 1 5pg document that you can select each page and view separately.
MEDICAL RECORDS FORM IDs:
You don't have to build new forms. You can use current Form ID's. If a current form already exists that you would like to use and has an EMR Form ID populated, but is not the correct EMR Form ID that you need to identify this image’s placement in the EMR, and/or the category is not where you would like to see the image in the ELR, do not replace it with a different EMR ID or category; a new MIS Medical Records form would then need to be built.

We are in the very early stages of implementing the cold feed (I’m not the project manager on that one) but it is my understanding that the third party vendor also needs to send an HL7 message to Meditech telling it what the name of the file is and the patient information. Meditech, upon receipt of this HL7 message will go and retrieve the file and then attach the document it picks up to the patient’s record of which the ID was provided in the HL7 message.

Thanks Gary. I don’t have the same understanding so appreciate clarifications from those of you who are already using the Cold Feed interface. To my understanding the 3rd party must name the document in a way for Meditech to know what to do with it. As such, Meditech is not expecting the 3rd party vendor to send an HL7 message telling Meditech what the name of the document is.
Ok, I hunted down the Meditech interface specs we purchased and here are some details. I’m just including some portions from throughout the document that summarize what it does
MAGIC Other Vendor Image Notification for MRM Scanning (Coldfeed)

This interface receives HL7 messages from an other vendor imaging system
for the purpose of notifying MEDITECH MRM when new scanned image files are
available or when an existing image file needs to be deleted.
Then in the actual details of the HL7 message it has the following items:
1. It has a Result patient identification
a. which contains the patients MRN, Account #, DOB and Sex) PID segment
2. It has the transcription document header
a. Has the origination date/time
b. Originator code/name
c. Unique document file name
d. Image purge flag
Also, there is a summary document that contains the following info:
The process starts with image files being placed into a designated directory on the Enterprise
Content Manager server by the other vendor(s) for MEDITECH to process from. Then, an HL7
message is sent to MEDITECH from the other vendor containing information pertinent to the
import file (patient, form, image path, and more). Along with the Enterprise Content Manager
server, the Non-MEDITECH Interface and Scanning and Archiving applications work together to
integrate the image file into the system. By utilizing a Medical Record Form, the import file can not
only appear in the electronic chart, but also within Clinical Review and the Patient Care Inquiry
application. Additionally, the form may be managed within the Form Management routines.

That is correct in Client Server versions Gary. I can’t speak to 6.x.
Our vendors are naming the physical file to the Meditech specification.

A quick update on this; Martin Hamburg sent me their interface specs and I saw that the interface for C/S is different than ours for Magic.
In the C/S version:
1. The system automatically monitors the folder for new files
2. The file name as it is placed in the folder contains the Patient identifier.
No HL7 is needed with C/S so that definitely makes C/S the easier way to go.

No, it’s not. It’s a custom application built on Lexmark’s Enterprise Content Management system but it would apply to any vendor communicating with Meditech Magic’s version of the cold feed setup.
